About the business and the role

Vivid Property Services is a national commercial cleaning specialist that Australian facility managers and procurement managers trust to meet their cleanliness and hygiene standards.

We are seeking a highly organised and customer-focused individual to support our call center team and provide administrative support. The ideal candidate will have call centre experience and be responsible for handling inbound and outbound calls, providing excellent customer and client service, and performing various administrative and data processing tasks to support the smooth running of our Operations.

Key responsibilities

  • Answer incoming calls and respond to customer inquiries in a professional and courteous manner.
  • Make outbound calls to follow up on customer requests, resolve issues, or provide information as needed.
  • Maintain accurate and detailed records of all interactions with clients.
  • Handle customer complaints and escalate issues to the appropriate area as necessary.
  • Coordinate with the Service Delivery team to ensure timely resolution of customer queries or concerns.
  • Manage email inbox and action or direct as required.
  • Manage incoming work, in line with current procedures and dispatch work as required.
  • Maintain various systems and platforms with up to data information and requests.
  • Manage customer queries and requests, interpreting client requests and resolving issues.
  • Highlight when support is required by maintaining continuous and open communication with the management team.
  • Effectively prioritise requests from all stakeholders to ensure that requests are addressed in a timely way.
  • Manage the calls and delivery of services in accordance with the applicable processes, stipulated timeframes and business objectives.
  • Foster and maintain positive working relationships with clients, client sub-contractors, suppliers and consultants.
  • Manage customer relationships to a level that would result in the client being prepared to recommend Vivid to others.
  • Assist with special projects or initiatives as assigned by management.
  • Requirements

    • Previous experience working in the cleaning/facilities management industry is highly regarded.
    • Proven experience in a customer service or call center role preferred.
    • Excellent communication skills and a dynamic personality, easily adapting to change
    • Excellent communication skills, both verbal and written.
    • Strong interpersonal skills and the ability to build rapport with customers.
    • Proficiency in using CRM software and other office productivity tools (e.g., Microsoft Office Suite).
    • Ability to multitask and prioritise tasks effectively in a fast-paced environment.
    • Attention to detail and accuracy in data entry and record-keeping.
    • Problem-solving skills and the ability to think quickly on your feet.
    • Positive attitude and willingness to learn and adapt to new processes and procedures.
