Your new role Reporting to the Manager, you'll be the operational backbone of the Family Office team - ensuring seamless client experiences, smooth internal coordination, and well-prepared meetings and events. You'll work across a wide variety of tasks including:
Preparing agendas, supporting documents, and minutes for internal and client meetings
Managing travel bookings and accommodation for the team
Diary management, meeting room coordination, and event setup
Onboarding new clients and managing updates in XPlan and other systems
Organising integrated service meetings with clients and other advisors
Drafting and formatting reports, tenders, letters, and presentations
Assisting with marketing material preparation and editing
Coordinating client billing and raising invoices
Maintaining both electronic and hard copy records
Supporting ad hoc requests from managers and directors
What you'll need to succeed To be considered for this role, you will meet the following criteria:
Excellent verbal and written communication
Ability to convey information clearly and effectively
Strong listening skills and attention to detail
Organised and able to meet deadlines
Efficient time management and prioritisation skills
Ability to handle multiple tasks simultaneously
Diploma or Certificate IV in Business Administration or related field of study, or relevant experience
Knowledge of administrative procedures and systems
Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
Advanced skills in creating and formatting documents, spreadsheets, and presentations
Familiarity with email and calendar management
