Job Description - Client Services Administrator

Your new role
Reporting to the Manager, you'll be the operational backbone of the Family Office team - ensuring seamless client experiences, smooth internal coordination, and well-prepared meetings and events. You'll work across a wide variety of tasks including:
  • Preparing agendas, supporting documents, and minutes for internal and client meetings
  • Managing travel bookings and accommodation for the team
  • Diary management, meeting room coordination, and event setup
  • Onboarding new clients and managing updates in XPlan and other systems
  • Organising integrated service meetings with clients and other advisors
  • Drafting and formatting reports, tenders, letters, and presentations
  • Assisting with marketing material preparation and editing
  • Coordinating client billing and raising invoices
  • Maintaining both electronic and hard copy records
  • Supporting ad hoc requests from managers and directors
  • What you'll need to succeed
    To be considered for this role, you will meet the following criteria:
  • Excellent verbal and written communication
  • Ability to convey information clearly and effectively
  • Strong listening skills and attention to detail
  • Organised and able to meet deadlines
  • Efficient time management and prioritisation skills
  • Ability to handle multiple tasks simultaneously
  • Diploma or Certificate IV in Business Administration or related field of study, or relevant experience
  • Knowledge of administrative procedures and systems
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Advanced skills in creating and formatting documents, spreadsheets, and presentations
  • Familiarity with email and calendar management
