Job Description - Customer Service & Sales Administration Specialist

About the Role:
Our client is seeking a dynamic individual to join their growing business as a Customer Service & Sales Administration Specialist. In this role, you will be the first  point of contact with consumers, customers, suppliers and team members. Your responsibilities will include processing customer orders, deliveries and invoicing, processing and checking of  Supplier/Vendor invoices as well as a variety of administration tasks, including maintaining the  office and office supplies. This role at times may involve travel both domestically and  internationally if required.

Key Responsibilities:
Customer Service 
  • Process sales orders including entry, fulfilment and invoicing using internal ERP system.
  • Handle customer inquiries, including order tracking, claims (short shipments, damaged goods), and POD requests.
  • Coordinate transport for domestic customer orders.
  • Manage inventory credit claims and generate sales reports.
Office Administration 
  • Answer incoming calls and provide frontline consumer support.
  • Welcome and assist business visitors.
  • Oversee office supplies, including kitchen, bathroom, and stationery procurement.
  • Support annual audits by retrieving required documents (orders, invoices, PODs).
  • Perform general administrative duties as needed.
Logistics Support 
  • Assist with stock flow processes, including container receipting.
  • Conduct weekly inventory reconciliations.
Requirements:
  • Proven experience in customer service and business administration. Transportation or warehousing industry experience is advantageous.
  • Strong numeracy,  communication, and professional phone skills.
  • Proficiency in Microsoft Office; EDI system experience is advantageous.
  • Excellent attention to detail and time management with a methodical approach to tasks.
  • Adaptable, reliable, and self-motivated team player with a commitment to quality work.
