Job Description - Customer Service Officer - Urgent Hire

We are seeking a capable Customer Service Officer to join our high calibre team at PsychPhys in Notting Hill, Melbourne VIC.

PsychPhys is seeking an experienced Customer Service Officer to join our established Finance Team. This position is located at our Head Office in Notting Hill. This location has onsite parking and is accessible via public transport.

The Company

PsychPhys is an Australian Primary Health Care Practice; and the only program of its kind within Australia. We have an expansive footprint spanning across some of the largest single low socioeconomic communities across Australia.

Our programs have been developed to allow individuals with Autism Spectrum Disorder, Intellectual Disabilities, Learning/Developmental Delays, Cognitive Impairments, and/or Mental Health concerns the opportunity to Shine!

We deliver our programs to individuals between the age of 0- 4yrs - 11yrs; 12yrs -21yrs; and 21+yrs. We focus on the provision of support services to government and non-government agencies, schools, Treating Health Professionals, and individuals/families.

The Candidate

  • Have exceptional interpersonal skills with the ability to work with a broad range of people from a variety of backgrounds and experiences, including cultural sensitivity and cross-culture communication.
  • Strong customer service skills, particularly the ability to provide administrative support to clients, and their family
  • Excellent organisational and time management skills
  • Ability to prioritise and manage multiple and competing work tasks and deliver to agreed deadlines
  • Enjoy working in a small, highly motivated team.
  • Demonstrate strong attention to detail.
  • Show adaptability and flexibility to changing work environments and requirements
  • Have advanced computer skills including word processing, spreadsheets and database applications and experience working with Xero
  • Experience working within the Healthcare Industry
  • Adaptable to change and open to Learning new process

The Responsibilities

  • Ensure all incoming phone calls are attended to in a prompt and courteous manner
  • First point of contact for new clients regarding program payment processes and Customer Service support options
  • Action all billing, batching, electronic claims and invoices for all programs and services
  • Responding to client enquiries
  • Provide relief for other members of the customer service team as required
  • Follow up aged debtors
  • Ensure that consumables are replaced including stationary and photocopier paper in the draws (Head Office)
  • Assist in the induction of all new staff with regards to Customer Service role/processes
  • Other duties consistent with the position where required and/or requested by management from time to time.
  • Take reasonable care for their own health, stress and safety, and that of others in the workplace

The ideal candidate will hold the following

  • A satisfactory Police Criminal Check dated within 6 months of commencement.
  • A valid Employee Working with Children’s Check.
  • A current Driver’s License.
  • Full COVID-19 Vaccination.
  • Minimum 2 years working in Accounts Receivable
  • Bachelor in Accounting
