Job Description - Executive Assistant


At the NSW Department of Education, we educate and inspire lifelong learners – from early childhood, through schooling to vocational education and training. 



  • Ongoing, full-time opportunity

  • Parramatta CBD office location, with flexible working arrangements available. Please note regular attendance at the Parramatta office is required

  • Salary ranges from $84,659 to $92,701 p.a. plus super & annual leave loading



About the role
As the Executive Assistant, you will be responsible for delivering professional, efficient and confidential support to ensure the smooth day-to-day operations of the Director’s office.


 


Key responsibilities include:



  • Diary management, scheduling meetings, and coordinating travel and accommodation arrangements

  • Managing and maintaining accurate and well-organised records and document management systems, including electronic filing systems, shared workspaces and corporate records management systems

  • Drafting and managing professional correspondence and emails, including quality assuring documents and communications prepared by others

  • Liaising with stakeholders and responding to routine enquiries in a professional and timely manner

  • Assisting with purchase orders, invoices, and payments

  • Supporting recruitment activities and onboarding processes for new team members

About you 


You are a proactive and approachable professional with a calm, solutions-focused approach to your work. You will also have:



  • Strong organisational skills, with the ability to maintain accurate records, manage information and keep tasks and processes up to date 

  • Enjoy creating order, maintaining efficient systems and ensuring administrative tasks are completed accurately and on time

  • The ability to manage changing priorities while maintaining professionalism, responsiveness and attention to detail

  • Strong customer service and communication skills, with the ability to build positive stakeholders relationships

  • Experience using TRIM or other records management systems, or a willingness to learn

  • Proficiency in Microsoft Office applications, including Excel, Word, and PowerPoint

  • Experience providing executive or administrative support is desirable but not essential

  • Knowledge of and commitment to implementing the Department’s Aboriginal Education Policy and upholding the Department’s Partnership Agreement with the NSW AECG and to ensure quality outcomes for Aboriginal people.

  • Current and valid Working with Children Check Clearance for paid employment.

  • Demonstrated understanding of and commitment to the value of public education
