Role Overview: We are seeking a highly organised and proactive Executive Assistant to support our executive team. This role involves managing a wide range of administrative and executive support tasks, ensuring the smooth operation of daily activities and contributing to the overall efficiency of the company.

Key Responsibilities:

  • Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle confidential information with discretion and professionalism.
  • Organise and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Assist in the preparation and tracking of reports, budgets, and other financial documents.
  • Act as a liaison between the executive team and internal/external stakeholders.
  • Manage and prioritise incoming emails, phone calls, and other communications.
  • Conduct research and compile data for special projects as needed.
  • Maintain an organised filing system of electronic and paper documents.
  • Perform other duties as assigned to support the executive team.
     

Qualifications:

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Strong organisational and time management skills, with the ability to prioritise tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Must have strong computer skills
  • Ability to handle sensitive information with the highest level of confidentiality.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Flexibility and adaptability in a fast-paced environment.

Desirable Attributes:

  • Experience in the NDIS or healthcare industry.
  • Knowledge of office management systems and procedures.
  • Strong interpersonal skills and the ability to build relationships with stakeholders.
