We have an exciting, permanent opportunity for a highly organised and proactive, experienced Executive Assistant to support our Chief Operating Officer (COO) within our Sydney office.

About the Role

  • Provide executive administrative support to the COO including extensive calendar management across international time zones
  • Scheduling Board and other leadership meetings, ensuring the smooth running of these events
  • Drafting Agenda and distributing Board papers
  • Attend executive leadership meetings to manage slide presentations, record action items and subsequent follow up action items on behalf of COO
  • Preparation of high-quality PowerPoint presentations
  • Coordinate regular COO communications
  • Handle confidential information and provide administrative support to ensure the seamless functioning of the COO’s office
  • Coordinating travel and accommodation including itinerary / insurance information
  • Assisting with Events including National Partner Conference
  • Anticipate the COO’s needs and address them with professionalism and composure.

About you

This role will suit someone who is engaging, organised, forward-thinking and who thrives in a fast-paced environment.

  • Previous experience as an Executive Assistant supporting a C-suite executive in a law firm of professional services environment
  • Advanced skills in PowerPoint, Word & Excel
  • Experience in using MS Forms, iManage and SharePoint – advantageous, but not essential
  • A good grasp of technology to troubleshoot IT issues and resolve
  • Have strong relationship management skills, be proactive, flexible and adaptable
  • Meticulous attention to detail - strong proofreader, picking up and suggesting edits where appropriate. Keen eye for formatting
  • Discretion and confidentiality in handling sensitive information.
