Job Description - Executive Assistant - Career Growth Potential

As The Yiros Shop continues to grow, we are seeking a dedicated, high level Executive Assistant with excellent time management skills to join the team at our head office. We are conveniently located in the heart of South Brisbane which is walking distance to Southbank bus and train stations.

The Executive Assistant will play a crucial role as you'll be the right-hand person to the Managing Director, ensuring their days run smoothly as possible.

About the role

This is a Fulltime Permanent position – Monday to Friday (8:30am-4:30pm)

 

  • Schedule & attend meetings on behalf of Managing Director (When required)
  • Assist with organising events from small to large scale
  • General administration tasks as required by the team
  • Manage the Managing Director email inbox, including sorting, prioritising, and responding to emails as appropriate, ensuring that all communications are handled promptly and professionally
  • Organise and maintain the Managing Directors calendar, including scheduling meetings, appointments, and travel arrangements. Ensure all calendar entries are accurate and conflicts are managed effectively
  • Coordinate seamlessly with internal and external stakeholders to arrange meetings, including setting up video calls and conference rooms, and preparing necessary meeting materials
  • Provide reminders for important tasks and deadlines to the Managing Director
  • Assist in the preparation and editing of business correspondence and presentations
  • Handle confidential information with a high level of discretion and integrity
  • Record, transcribe, and distribute minutes of meetings
  • Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work
  • Manage and maintain office supplies

 

About you

To be considered for this role, you will have:

 

  • A minimum of two years' experience in a Personal Assistant role or EA, preferably in a medium to large organisation
  • Qualifications in Business Administration/Management would be desired, although not essential
  • Exceptional organisational and time management skills, with the ability to prioritise tasks, manage competing priorities and meet deadlines
  • Excellent written, interpersonal and verbal communication skills, with attention to detail
  • The ability to maintain confidentiality and manage sensitive matters with discretion and judgement
  • Strong interpersonal skills to build and maintain relationships across all levels of the organisation
  • Proficient in Microsoft Office - Intermediate level of Microsoft Excel - Advanced in use of Outlook Email 
  • Proactive and resourceful approach with excellent problem-solving abilities.
  • Able to calmly work well under pressure
  • Ability to manage conflicting priorities, deadlines, and multi-tasking, with empathy and kindness
