Join Our Team at CSO Group: Executive Assistant & Corporate Support Officer (NSW)

Reports To: CEO & Chief People Officer

About the Role 
 
We are seeking a highly organised and motivated individual to join our team as an Executive Assistant & Corporate Support Officer in Sydney. This newly created role is crucial as our business grows, ensuring the seamless operation of both our Sydney and WA offices. You will provide exceptional administrative support to our CEO, Senior Leadership team, and Board, while taking an active lead in the efficient running of the Sydney office. 
 
Executive Assistant Support to CEO: 
- Manage the CEO’s diary and meeting schedules, considering the time difference with the CEO based in WA. 
- Organise meetings and prepare necessary documentation. 
- Handle travel arrangements and expense management. 
- Serve as the primary contact for all inquiries and requests. 
- Manage correspondence, draft letters, and emails. 
- Prepare documents for meetings and record minutes as needed. 
- Assist in creating reports and maintaining an efficient filing system. 
 
Support to Senior Leadership Team & Board: 
- Manage diaries and meeting schedules. 
- Facilitate communication and access to the CEO. 
- Coordinate travel arrangements. 
- Prepare documents and support information for meetings. 
- Manage key meetings of the Board and sub-committees, including agenda and paper collation and distribution, as well as minute taking. 
 
Office Management: 
- Oversee office facilities and administration for both WA and Sydney. 
- Manage office access, workstations, and equipment orders. 
- Ensure office supplies and cleanliness. 
- Organise corporate functions and social events. 
- Act as Chief Fire Warden and First Aid Officer. 
- Coordinate office logistics, such as setting up meetings and ordering catering. 
 
People & Culture: 
- Assist with onboarding and off-boarding processes for NSW team members. 
 
About You 
 
You are an experienced EA/Office Manager who knows what it takes to support leadership teams. Over the years, you have developed tried and tested ways to keep diaries and travel plans on track, facilities and meeting rooms well maintained, and documentation ready in time for when it is needed. 
 
Skills & Attributes: 
- 5 or more years of recent experience in a similar role. 
- Strong organisational and time management skills. 
- Excellent communication and interpersonal skills. 
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
- Ability to prioritise and manage multiple tasks simultaneously. 
- Ability to maintain confidentiality at all times. 
- Great execution skills, with the ability to provide context and analytical input. 
- Excellent relationship management skills and a good sense of humour. 
- Ability to anticipate or respond to changes in a calm and efficient manner.
