About the Role:
As the Executive Assistant at Fern Lawyers, you will be at the heart of our operations, providing vital support to our Managing Director and ensuring the smooth functioning of the executive office. This role offers a unique opportunity to work closely with our leadership team, gaining exposure to the intricacies of the legal industry while making a tangible impact on the firm's success. From managing schedules and correspondence to spearheading special projects, you will play a key role in driving efficiency, enhancing productivity, and fostering a culture of excellence within our organisation. Key Responsibilities:

  • Manage the Managing Director's calendar and schedule, including coordinating meetings, appointments, and travel arrangements.
  • Act as the primary point of contact for internal and external stakeholders seeking access to the Managing Director, prioritising and screening incoming calls and correspondence.
  • Handle correspondence on behalf of the Managing Director, including drafting and preparing emails, letters, reports, and other documents as required.
  • Monitor and manage the Managing Director's inbox, prioritising emails, responding to routine enquiries, and flagging urgent or important messages for immediate attention.
  • Anticipate the Managing Director's needs and proactively identify opportunities to streamline processes, improve efficiency, and enhance productivity.
  • Assist with special projects and initiatives as assigned by the Managing Director, providing research, analysis, and administrative support as needed.
  • Understand the nuances of the legal industry, particularly within the personal injury space, to effectively support the Managing Director in legal matters and client interactions.
  • Utilise LEAP software for legal practice management and document automation, assisting the Managing Director in maintaining accurate records and optimising workflows.
  • Identify opportunities for process optimisation and efficiency improvements within the executive office, implementing best practices and solutions to enhance productivity and effectiveness.

 

Qualifications and Skills:

  • Minimum 3 years previous experience as an Executive Assistant or similar role supporting senior executives, preferably within the legal industry.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage competing priorities effectively.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook), LEAP software and CRM.
  • Attention to detail and accuracy in all work tasks, including proofreading and editing documents.
  • Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Proactive mindset with the ability to anticipate needs, solve problems, and take initiative to address issues independently.
  • Flexibility and adaptability to changing priorities and requirements in a fast-paced environment.
