1.0 FTE SCHADS Level 5 ($93,858.96- 98,111.52) + super + salary packaging + additional paid Christmas leave

About the role

This is currently a fixed term opportunity to 30 June 2025 with the possibility of the role being made permanent. This position is responsible for providing efficient and effective support and coordination to the CEO, Leadership Team and Advocare Board. This position includes administration, report preparation, governance and project support. You will work closely with the leadership team, directly reporting to the CEO, and work both autonomously and collaboratively to further Advocare’s objectives.

About the right candidate
The ability to manage multiple systems projects is important, plus we need someone who can balance priorities to ensure the team is supported.

Your responsibilities will include:

  • Develop and maintain the Leadership Team and Board’s planning calendar and support communication and flow of information between the Leadership Team. 
  • Manage the CEO’s calendar and emails and provide advice on calendar requests to optimise scheduling.
  • Manage the CEO’s action list to ensure timely responses/provision of information both to and from the CEO and alleviate any bottlenecks.    
  • Scheduling, preparation for, coordination of and minuting meetings as required
  • Undertake required background work to anticipate issues, provide well-informed summary of advice/ recommendations to enable CEO to make informed and timely decisions.
  • Draft CEO’s correspondence and responses, and review materials prior to distribution.
  • Assist with drafting, editing and reviewing documents, including new projects and programs and tender documents. 
  • Support the CEO with urgent media coordination and speech/response drafting. 
  • Identify potential problems with existing administrative systems, suggest improvements and contribute to the development and implementation of improved administrative procedures and processes.
  • Oversee compliance with relevant Delegations of Authority requirements and relevant standard operating procedures       
  • Undertake research and projects, as required within the context of your role.

Work Related Requirements 

  • Minimum 3 years’ experience in an equivalent role
  • Tertiary Qualification in a relevant discipline or similar
  • Well-developed communication (verbal and written) and interpersonal skills, with the ability to tailor and adapt communication appropriately to various people 
  • Secretariat for the Board of Directors, including organisation of all Board meetings, sub committees, functions and activities
  • Ability to work flexibly and demonstrate a willingness to respond to changing work requirements and peak periods.
  • Strong technology skills in Microsoft and ability to pick up new technology quickly
  • Experience multi-tasking and prioritising tasks and working under pressure to firm deadlines
  • Experience in researching and drafting reports and correspondence
  • Meticulous attention to detail

Desirable:

  • Experience working for a not-for-profit organisation
  • Experience using cat herder board portal
