Our Client
Our client is a highly respected engineering consultancy based in Newcastle. The Role
This is a full-time, permanent position based in Mayfield. This position is responsible for providing executive support to the business Directors and more broadly providing administrative assistance to the business. Responsibilities include:
- Being the central point of contact for clients managed by the Directors
- Diary/calendar management for the Business Owners/ Directors
- Email monitoring, filing and managing actions where required on behalf of the Business Owners/Directors
- Proactively arranging daily communication meetings (both face to face and remote) with the directors to check in on diary updates/ changes, project requirements and general support tasks etc.
- Reviewing documentation for grammar, formatting etc. prior to submission
- Sending communication emails on behalf of the directors
- Coordinating and scheduling meetings with both internal staff and externals (e.g clients, project consultants etc.)
- Managing project tasks and deadlines
- Taking dictation and minutes
- Filtering phone calls
- Arranging travel and accommodation for the directors and all other staff as required
- Booking conferences/seminars for the directors and other staff members as required
- Assisting tender/ proposal processes for which the directors are responsible for and work with Team Support personnel to facilitate this
About You
You will ideally have at least 3 years experience working in an administrative role for an engineering, construction, government sector, or previous experience in high level EA support. You will be able think outside the square and troubleshoot any issues that may arise. You will show initiative and have proven experience with process improvement. You will possess the following:
- Strong administration experience
- Proficient skills in Microsoft Office and/or exposure to other computer systems
- Self-driven and able to work autonomously and within a team
- Excellent written and verbal communication with people on all levels
- High attention to detail
