Job Description: We are seeking a highly organized and proactive Executive Assistant/ Personal Assistant to support our managing director, Dr Daevyd Rodda. The ideal candidate will be a master of multitasking, possess exceptional communication skills, and have a keen eye for detail. The EA/PA will play a critical role in ensuring the smooth operation of our managing directors office, handling a wide range of administrative and executive support tasks. This job can be a work from home role, however the candidate must be able to attend the Sunshine Coast for meetings at short notice.
Responsibilities:
- Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize documents, presentations, and reports for meetings as required.
- Act as the primary point of contact between company directors and internal/external stakeholders.
- Assist with special projects and initiatives as assigned by the director.
- Handle sensitive and confidential information with discretion and professionalism.
- Anticipate the needs of the director and proactively address them to ensure efficient workflow.
- Organise personal and business finances for the director, and assist with the signing and completion of any financial, legal and other paperwork as required.
- Additional PA tasks as required.
Qualifications:
- Proven experience as an executive assistant or similar role, with a healthcare or finance background highly preferred
- Strong organizational and time management skills
- Excellent written and verbal communication abilities
- Ability to prioritize tasks and work well under pressure
- Discretion and confidentiality when handling sensitive information
- Strong attention to detail and accuracy
- Ability to work independently with minimal supervision
- Flexibility to adapt to changing priorities and deadlines
