St Albert’s College was founded in 1969 and is an institution owned by the Diocese of Armidale, operating within the University of New England. The College is co-educational and houses up to 310 male and female residents. Position Profile
The Executive Assistant is responsible for the provision of proactive and high-level support to the Executive Team, including the Head of College, Executive Dean and Executive Manager Finance and Operations, playing a key role in the overall viability and success of St Albert’s College. They will provide operational and administrative support to the management team, including but not limited to calendar and email management, facilitating meetings and making travel arrangements. They will support the efficient and effective operation of the office and the optimal utilisation of their time and resources.
Accountability
The Executive Assistant reports directly to the Head of College and will be accountable for managing and undertaking all activities in line with College policies, procedures, and regulatory and legislative requirements. They will strive to exceed quality work standards and stakeholder satisfaction levels.
Key Responsibilities
Key responsibilities include:
Executive Support
Provide secretarial and administrative support to the Head of College, Executive Dean, and the Executive Manager of Finance and Operations.
Manage calendar and email for the Executive Team.
General Administrative Support
Support the activities of various College auxiliary groups, including Senior Common Room and Alumni, and maintain membership registers. Assist with affiliate membership. Provide other administrative support as required. Maintain records. Front desk duties.
Professional Development
Maintain an up-to-date knowledge of industry best practice, innovative solutions, and personal technical expertise and development.
Workplace Health and Safety (WHS)
Contribute to a safe and healthy workplace by:
Adhering to relevant statutory legislative and College policy requirements to ensure that services are provided in a safe manner at all times;
Ensuring a safe environment exists for students, staff, and members of the public;
Reporting any potential risks, incidents or hazards by completing an incident/hazard report and informing the Head of College;
Actively participating in WHS activities such as WHS consultation, incident investigations, WHS audits, inspections, risk assessments, WHS meetings, and management review of WHS performance
Providing leadership and set a high standard for WHS; and
Working to ensure both your own and others’ safety.
