We are currently seeking an Executive Assistant to support two of our Junior Partners and provide support to our Information Centre efforts. We are looking for someone who prides themselves on operating with utmost integrity, is a pragmatic decision maker and an extremely reliable operator, with a passion for making the office a great place to work. 

 

What the role entails:

Executive Assistance responsibilities:

  • Proactively managing the Partners' inboxes, ensuring emails are answered, actioned or delegated appropriately. Confidentiality is of critical importance
  • Managing diaries and coordinating arrangements for meetings and appointments
  • Scheduling air travel, booking hotels, cars and providing detailed itineraries for Partners
  • Preparing letters, reports and presentations
  • Maintaining a live ‘to do’ list for the Partners and ensuring regular catch ups happen to help drive partner productivity
  • Completing expense reconciliation, coding expense receipts and entering times and expenses in the relevant systems within the required deadlines
  • Entering new contacts, meetings and opportunities in the firm's marketing database and ensuring these are kept up to date
  • Involvement in supporting projects and events from time to time
  • Working effectively with the EA team and the office more broadly

 

Information Support responsibilities:

  • Generally assisting the Information Manager (IM) with various admin related tasks as required
  • Maintaining companies/sector lists & circulating daily ASX alerts to partners & managers in a time sensitive manner
  • Involvement in downloading & managing broker reports & a range of external research materials for staff as required & the InfoCentre collection
  • Assisting IM with production, circulation & posting to InfoCentre SharePoint page - of monthly Info Centre Newsletter - On the Shelf  
  • Preparing ad hoc InfoCentre Updates with IM direction & posting to IC SharePoint page
  • Assisting IM with monthly database usage stats for recovery purposes & with ad hoc database usage as requested for client billing by Finance
  • Updating the Database & Resources information pages on InfoCentre SharePoint pages with IM provided content
  • Assisting Information Manager with onboarding & offboarding of consulting staff 
    • Updating welcome & intro emails as required, sending introductory emails to new Australian consulting & LCN staff 
    • Managing passwords & User IDs for new Australian consulting & LCN staff & deletion of leavers
  • Checking IM’s emails for alerts etc when IM is on annual leave 
  • Learning some basic research skills to assist with basic questions in Information Managers absence

 

The successful candidate will have the following:

  • Experience in an administrative support role in a corporate or professional services environment
  • Confidence to approach Partners and interact with C-suite and Board Member clients
  • Ability to establish rapport with a variety of people at different levels both internally and externally – particularly EAs of CEOs at ASX100 entities
  • Strong time management and organizational skills, together with the capacity to manage multiple tasks and conflicting priorities simultaneously with minimal direction
  • Strong communication skills (oral & written)
  • Fastidious attention to detail – holds high standards and takes pride in being on top of things 
  • Proactive & intuitive - puts themselves in Partners’ shoes and anticipates and actions on needs
  • Resilient, tenacious and comfortable working in a fast paced, ever-changing environment
  • Creative, ability to think outside of the box when it comes to events
  • Experience working with a CRM platform (preferably Salesforce), SharePoint and proficient PowerPoint and Word skills
  • Flexible on working hours (8am-5 pm, plus flex as needed)
  • Willing to support other partners (when EAs are on leave)
