Job Description - Executive Assistant to the CEO - Room for Advancement

We are looking for a resilient Executive Assistant to the CEO to join our growing team at Brave Foundation in Ringwood, Melbourne VIC.

  • Part time maximum term contract (until 26 June 2026)
  • 30.4 hours per week to be worked over five days
  • Base rate: $42.60 per hour
  • Office based role located in Ringwood, VIC

About the role

A key role in the Office of the CEO, the Executive Assistant to the CEO is responsible for providing high-level administrative support to the Chief Executive Officer (CEO) and Senior Leadership Team (SLT), general office administrative support and coordination of Board and Sub-Committee meetings as required.

Key Responsibilities

Executive Support and Office Administration:

  • Provide administrative support to the CEO, including email, diary and travel coordination, document support and appropriate filing, managing correspondence and phone calls, and liaising with external stakeholders on behalf of the CEO and SLT
  • As a key member of the Office of the CEO team, work closely with the Government Relations and Partnerships Advisor and Communications Advisor to maximise CEO communication and engagement opportunities with government, partners and the media
  • Prepare organisation reports, meeting documentation, presentations and communications for dissemination to internal and external stakeholders as required
  • Monitor grant milestones and Board schedule to ensure the CEO has time set aside for report writing and review and ensure SLT meetings are scheduled to plan for reporting requirements
  • Support the wider leadership team with special projects, meeting preparation and delivery, and the collation of documentation and reports as required
  • Act as first point of assistance for SLT regarding technical and administrative matters (such as support with IT issues, liaising with our outsourced IT support team to resolve more complicated issues, and document formatting, management and filing)
  • Manage conference registrations, stakeholder meetings, site visits etc, and schedule flights, accommodation, airport transfers/car hire for management and staff where requested
  • Support the CEO and SLT to process expense reimbursements and invoices in line with policies and procedure
  • Coordinate internal events including national staff conferences (overseeing travel, accommodation, transfers, venue, catering, and other arrangements), staff townhall meetings, and regular and ad-hoc team meetings
  • Support the Head of Corporate Services to procure and maintain resources such as IT equipment, maintenance of office supplies, ordering of printed materials and general office stationery, collation and distribution of participant welcome packs and graduation packs, sending/receiving mail and deliveries to Reception and the Post Office
  • Manage general enquiries received via Brave’s contact number and general enquiry email address

Board and Sub-Committee Coordination:

  • Assist with the scheduling and preparation of Board and Sub-Committee meetings
  • Arrange board member travel as required
  • Coordinate and upload papers and reports from Management into Brave’s online Board portal
  • Assist in follow up of actions arising from meetings
  • Maintain internal governance registers and Board and Committee workplans
  • Maintain annual compliance calendar detailing Brave’s internal and external compliance obligations

About you

- Demonstrated experience working as an Executive Assistant who enjoys a varied role working with a highly professional and committed team

- Ability to professionally engage with multiple stakeholders, both internally and externally, preferably in a not for profit/community services environment

- Acts with the highest level of integrity, discretion and confidentiality as a key member of the Office of the CEO

- Highly organised and able to respond quickly to changing priorities in a dynamic working environment

To work at Brave, the successful candidate will be required to provide a National Police Check, a Victorian Employee Working with Children Check, evidence of Pertussis (Whooping Cough) vaccination and comply with Child Safety standards.
