Executive Assistant / Office Administrator

Capacity: Full-time 

Contract: Permanent
Salary: $70,000 - $90,000 p.a.

Start date: June 2024

The Role

As the company’s Executive Assistant this role is the primary administrative support to the Legal Home Loans’ business and the executive team.

We are recruiting a replacement of our current EA of five years who is leaving to become a full-time parent. The start date of this role includes a long handover period to ensure ample on-the-job training so you are set up for success. 

We are seeking someone who has at least 2+ years of administrative experience to assist with running the office, managing company accounts, coordinating bookings & events, and assisting with the back end of our data systems. In this role, you will experience a variety of tasks that will things engaging and interesting. You will primarily work alongside the Lending Manager and General Manager.

Key responsibilities:

  • Accounts payable, including payment of invoices, archiving receipts, and monthly budget reporting;
  • Office management, including basic IT support, purchasing supplies, setting up new and leaving employees, liaising with relevant third parties such as building managers;
  • Assistance with customer processes and experience, including CRM management, automated and templated emails, ordering merchandise and settlement gifts;
  • Coordinating and maintaining company insurances and registrations, company car insurances and associated requirements;
  • General administrative assistance, such as preparing memo’s and coordinating mail, company meetings, and team training;
  • Executive assistance including managing calendars, booking reservations, coordinating meetings, and personal assistance as required;
  • Answering the main phone line and contacting clients for check-ins at relevant intervals;
  • Booking catering, travel and coordinating company events;
  • Liaising with external third parties such as travel booking concierge, IT & cybersecurity, building management, accountants, and others.
  • Ad hoc assistance to the Sales and Marketing teams as required.

 

Desired traits:

  • 2+ years of relevant experience
  • Adept at Microsoft Office suite
  • Super organised with great time management skills 
  • Tech savvy with some CRM, marketing or data platform experience
  • Proactive & accountable
  • Resourceful with ability to problem solve independently
  • High attention to detail
