The Position

Key Responsibilities
  • Coordinate group planning activities and initiatives to ensure coherent cascade of strategic and operational objectives across the business through continuous improvement, and reporting & communication;
  • Board and sub-committee management – work with the Chairman and Company Secretery to produce board and sub-committee papers for Group Boards;
  • Provide administrative support on any potential investment opportunities and strategic projects;
  • Be the liaison point between Executives, and act as the bridge and facilitator between various stakeholders internally and externally;
  • Executive assistant duties to the CEO; manage the CEO’s daily calendars, inbox and correspondence, organise meetings and appointments, manage important events;
  • Coordinate travel arrangements for the CEO and Executive team plus schedules for visiting investors and clients;
  • Oversee the day-to-day running of the Brisbane office and business practices, plus maintain oversight of all other office sites to install administrative cohesiveness;
  • Be the ultimate gatekeeper and face of the organisation, prioritising communication and fostering great relationships.
Skills and Experience
  • Relevant tertiary qualifications in a business related field combined with demonstrated experience in role such as Business Manager, Executive Business Partner, or Senior Executive Support supporting CEO’s and C-Suite teams in complex and diversified groups of businesses;
  • Strong eye for detail and a natural ability to foresee issues and movements; you can pivot and adjust to changing situations and view these days as exciting, rather than taxing;
  • A genuine interest in the commercial matters and organisational success and understanding of high-pressure situations surrounding the CEO’s role and everything in their orbit;
  • Exceptional ability to multitask and morph between commercial matters, administration and operational objectives whilst balancing urgency vs priority;
  • Flexibility to adjust to changing situations, not least within day-to-day operational demands, but also movements and travel arrangements;
  • Familiarity with office management systems, ERPs and the Microsoft Office Suite - you must be comfortable with online calendars and cloud-based platforms;
  • A loyal, trustworthy attitude; you will be a strong communicator and approachable character who can work both independently and collaboratively across all channels of the business;
  • Ability to travel on an adhoc basis both interstate and internationally if required – this won’t be regular however, you will need to be open to this as you settle into your role.
