As we continue to grow, we are seeking a highly skilled Executive Secretary to join our dynamic team.
**Position Overview:**
The Executive Secretary will play a pivotal role in supporting the Director of our recruitment agency. The successful candidate will be responsible for providing comprehensive administrative and secretarial support, ensuring the smooth operation of the Director's office, and contributing to the overall efficiency of the agency.
**Key Responsibilities:**
1. **Administrative Support:** Manage the Director's calendar, schedule appointments, and coordinate meetings and conferences. Prepare and distribute correspondence, memos, and reports as required.
2. **Communication Management:** Serve as the primary point of contact for internal and external stakeholders, including clients, candidates, and partners. Handle incoming calls, emails, and inquiries promptly and professionally.
3. **Document Management:** Organise and maintain physical and electronic files, records, and documents. Ensure confidentiality and accuracy in all documentation and correspondence.
4. **Travel Arrangements:** Coordinate travel arrangements, including flight bookings, hotel accommodations, and transportation logistics for the Director and other team members as needed.
5. **Meeting Coordination:** Arrange and prepare meetings remote and in person.
6. **Database Management:** Update and maintain client and candidate databases with accurate and current information. Assist with data entry and report generation as needed.
7. **Project Assistance:** Provide administrative support for special projects, initiatives, and events as assigned by the Director. Collaborate with team members to ensure project deadlines are met and objectives are achieved.
8. **Office Operations:** Monitor and replenish office supplies, equipment, and stationery inventory. Assist with office maintenance and ensure a clean and organised work environment.
**Qualifications:**
- Proven experience as a Secretary or Executive Assistant, preferably in a recruitment agency or similar fast-paced environment.
- Proficiency in office software applications, including Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication skills, both verbal and written, with a high level of professionalism and discretion.
- Strong organisational and time management abilities, with keen attention to detail and accuracy.
- Ability to multitask and prioritise tasks effectively in a dynamic work environment.
- Demonstrated ability to work independently with minimal supervision and as part of a collaborative team.
- Bachelor's degree or equivalent qualification preferred.
