About the role:

As the Executive Support Officer you will play a central role in providing exceptional secretarial support to our Chief People Officer and wider People and Culture team. This position goes beyond typical administration, involving event coordination, report preparation, meeting facilitation, calendar management, and regular travel arrangements. We require strong interpersonal skills, effective communication, time management, and Microsoft Office proficiency. Additionally, you will manage relationships with external partners and vendors, while also supporting our broader People and Culture and Talent Acquisition functions.

Other responsibilities include:

  • Provide high-level administrative and secretarial support to senior leadership.
  • Manage senior leadership team's calendars and arrange meetings.
  • Assist in organising workflow and follow-up actions for the Board.
  • Handle office management and support activities, including local offices and sites.
  • Serve as a high-level personal assistant, handling research papers, reports, and email management.
  • Assist with ad hoc People and Culture based tasks
  • Support event preparation, both internal and external, and maintain effective networks with stakeholders and industry colleagues.
  • Advise the senior leadership team on matters requiring attention and prepare relevant documentation.
  • Make travel and accommodation reservations for executive management and wider team and maintain accurate records for reconciliation.

About you: 

This role would suit a candidate with strong working experience within an Executive Assistant/Officer or Support capacity. Candidates who have an exposure to working within a Human Resources Function (P&C/Recruitment/Talent Acquisition/Workforce Planning/L&D) are encouraged to apply.  

 

  • Previous experience and/or ability to work and liaise at executive level.
  • Proficiency in MS (Word, Excel, Outlook, and PowerPoint), PDF edits
  • Ability to work autonomously, employ initiative to find solutions, prioritise and exercise discretion.

 

Essential:

  • Australian citizenship and ability to obtain and maintain an NV1 Security Clearance
