Facilities Officer to ensure the smooth, safe and efficient operation of our Brisbane office. This is a hands-on, high-impact role spanning facilities management, workplace services, vendor/contract oversight, WHS compliance, and the coordination of office projects and moves.
This position is required to be in the office five days per week due to the nature of the role.
Working closely with Facilities Leadership, the Office Partner in Charge, Australia Senior Leadership and HR, you'll help deliver a compliant, well-managed and engaging workplace experience for colleagues and visitors.
All your technology needs will be provided for.
Responsibilities Workplace & facilities operations - Manage day-to-day workplace services including reception interface, meeting rooms, AV coordination, mail/couriers, stationery and supplies, printing, kitchen services, waste management, cleaning and security.
- Ensure high workplace presentation and hygiene through regular inspections and quality checks.
- Proactively identify issues, coordinate repairs/maintenance and respond promptly to facilities queries raised by local teams.
- Plan and support office events, seasonal activities and colleague engagement initiatives within approved budgets and policies.
- Maintain and update workplace documentation (procedures, user guides, workplace manuals).
Health, safety & compliance (WHS) - Lead WHS obligations under Queensland and national legislation including audits, inspections, incident investigations, risk assessments and corrective actions.
- Oversee Fire Warden and First Aid programs, ensuring appropriate coverage and training certification.
- Lead emergency preparedness activities with building management/local authorities (drills, training, documentation).
- Ensure compliance with statutory regulations, landlord obligations and essential services requirements.
Vendors, contracts & financial governance - Manage supplier relationships and SLAs including onboarding, benchmarking, structured performance reviews and supplier risk checks (insurance/licensing/WHS).
- Partner with Finance and Facilities leadership on budgets, procurement cycles, invoice approvals, cost controls and forecasting.
- Ensure alignment with DWF procurement policy and internal financial governance.
Projects, moves & asset management - Liaise with landlords, building management and contractors on fit-outs, refurbishments and relocations, ensuring continuity of operations and DWF standards.
- Develop and manage preventive maintenance schedules (HVAC/electrical/plumbing/safety systems) and maintain asset registers/service logs/compliance records.
- Maintain risk registers, contractor safety controls (inductions/permit-to-work) and support Business Continuity Plan (BCP) updates and testing.
Reporting, ESG & space planning - Prepare dashboards, KPIs/SLAs and vendor evaluation reporting.
- Conduct space utilisation reviews and recommend optimisation strategies.
- Support ESG initiatives (energy reduction, waste diversion, water stewardship) and contribute to reporting requirements.
What will help you succeed in this role? - 3+ years' facilities/workplace services experience, ideally in professional services or a corporate office environment.
- Strong WHS capability: audits, inspections, risk assessments, incident investigation and reporting.
- Proven vendor and contract management skills, including negotiation, SLA administration and performance reviews.
- Working knowledge of building services/systems (MEP/HVAC) and experience coordinating with building management/technical teams.
- Experience with preventive maintenance planning, asset registers and service logs.
- Strong budgeting/procurement and data-driven reporting capability.
- Experience supporting fit-outs/refurbs/relocations with contractors and landlords.
- Intermediate-advanced Microsoft 365 skills; exposure to CAFM tools desirable.
- Fire Warden/Marshal and First Aid certification (or ability to obtain/maintain).
- Customer-centric, proactive, detail-oriented and confident engaging with stakeholders at all levels.
- Right to work in Australia, able to pass pre-employment/background checks; availability for occasional after-hours/on-call support.
