Facilities Specialist

As our Facilities Specalist, you’ll ensure our office operates smoothly, safely, and efficiently while delivering outstanding workplace experience for our team. You’ll oversee daily operations, lead facilities projects, manage vendor relationships, and collaborate closely with our global Facilities team to bring world-class standards into the APAC region.

Key Responsibilities:

Project Management

• Plan, coordinate, and deliver facilities projects end-to-end, ensuring they are completed on time, on budget, and aligned to scope.
• Manage timelines, risks, contractors, and communication across multiple concurrent projects.

Operational Leadership

• Lead the day-to-day running of the office, ensuring a high-performing, safe, and well-maintained environment.
• Act as a proactive, solutions-driven leader who supports both front-of-house and back-of-house functions.

Service Delivery Excellence

• Own the delivery of workplace and facilities services, stepping in hands-on when needed to maintain service continuity.
• Identify opportunities to improve processes, elevate the employee experience, and streamline operations.

Procurement & Vendor Management

• Manage relationships with building managers, contractors, and service providers.
• Oversee procurement of goods and services, ensuring quality, compliance, and timely delivery.

Global Collaboration

• Partner with our global Facilities team on regional initiatives, contributing local insights and implementing global best practices across APAC.

Who You Are:

• You have 2+ years’ experience managing multiple projects simultaneously, confidently navigating competing priorities, tight deadlines, and shifting requirements.
• Organisation is second nature to you, you can seamlessly balance daily operational demands while driving complex, longer-term facilities and workplace projects.
• You take pride in delivering exceptional service and have experience leading or coordinating a small team to achieve strong operational and customer-focused outcomes.
• You’re a clear, proactive communicator who builds trusted relationships with key internal and external stakeholders, including landlords, building management, contractors, vendors, and senior leaders.
• You’re comfortable managing conflicting priorities, addressing issues with calm, practical problem-solving and ensuring the right outcomes for the business.
• While prior experience in a similar facilities environment is welcome, what matters most is your energy, passion, and motivation to create a great workplace and contribute meaningfully to MRI’s success.
