About Invictus Health

Invictus Health is a well-established allied health outpatient clinic in Melbourne that specialises in brain health, rehabilitation, and mental wellbeing. We're a friendly team that receive a diverse range of referrals and offer psychological assessment services throughout Victoria to government departments, hospitals, referring specialists, community care agencies and direct patients. 

We're seeking a Phone Receptionist / Admin person to join our team - you'll be our voice and a highly valued go-to point!

Our Psychologists and Neuropsychologists provide a range of assessments for conditions/cohorts including ASD, ADHD, paediatric, older adults, Intellectual Disability, and more. 

Position Overview: We are seeking a warm, patient, and highly organized individual to serve as the Phone Receptionist/Admin at our neuropsychology clinic. The ideal candidate will have an excellent phone manner and the ability to handle multiple tasks efficiently in a calm and friendly way.

We receive inquiries from different people from all walks of life, and you will be key to ensuring they feel heard, welcomed, and supported.

What you'll do:

  • Answer and direct phone calls in a warm, polite and professional manner
  • Schedule and confirm appointments
  • Provide accurate information to clients regarding services offered
  • Manage patient records and ensure all information is up-to-date
  • Assist with administrative tasks such as filing, data entry, and handling correspondence
  • Maintain a clean and organized reception area
  • Coordinate with the clinical staff to ensure smooth operations of the clinic
  • Address patient inquiries and concerns with empathy and professionalism

What you have:

  • Excellent communication skills, both verbal and written
  • Strong organizational and multitasking abilities
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Able to pick up and learn new how to use new software (Asana, Cliniko)
  • Ability to handle sensitive information with discretion
  • Friendly and approachable demeanor with a positive attitude
  • Patience and empathy, especially when dealing with patients experiencing stress or anxiety
  • Good to have, if you have it: Previous experience in a receptionist or administrative role, preferably in a healthcare setting
