Woodforde Group is partnering exclusively with Queensland Competition Authority (QCA) to seek a new Information Management Officer to join their team.
Located in the Brisbane CBD and offering hybrid working arrangements, this organisation is Queensland's economic regulator. Their primary function is to assist in preventing monopoly businesses from inappropriately using their market power. Businesses they regulate are those that operate vital infrastructure in Queensland including railways, ports, water and energy.
As a team of just over 40 employees, they have a strong history of retention within the business and a savvy leadership team who have decades of experience.
Your Role
As the Information Management Officer, your role is integral to ensuring all aspects of the QCA's document management system are maintained. You will add value through advising, collaborating and leading this function to improve procedures and practices. This role sits within the Corporate Services Team of 8 and your direct manager is highly approachable with a great sense of humour, as is the Senior Leadership Team.
Reporting to the Manager of Finance and Administration, your role will involve:
- Registration, filing, closure, storage, retrieval archiving and destruction of QCA records and documents and ensuring appropriate document security controls are in place
- Controlling confidential information registers
- Monitoring compliance with the QCA information management process
- Developing and delivering record management training programs including training new employees in the DMS (imanage)
- Providing ongoing DMS support and advice to management and staff as required, including on standards to release information, records retention, information and confidentiality
- Developing policies and procedures related to document management to maximise the use of, and protect access to, the QCA’s information resources
- Making recommendations for system improvements
- Manage Right to Information and Information Privacy Requests
- Liaise with external key stakeholders in relation to procedure and documentation requirements
- Coordinate mail delivery and receipts
- Undertake librarian duties
- Provide Executive Assistant and Corporate Services administration relief support as required
Selection Criteria and Recruitment Process
Suitability for this role will be assessed on your previous relevant experience, potential for development and personal qualities. Considerations will be formed around how well you demonstrate:
- Experience in an information management role with electronic document / information management systems
- Your understanding of information management responsibilities and information asset custodianship requirements outlined by Queensland State Archives
- Clear understanding of the Governance framework, compliance and confidentiality requirements
- MS Office suite software skills including advanced Word, Outlook and intermediate Excel skills
- Your interpersonal skills and communication skills to engage effectively with both internal and external key stakeholders.
- Organisational skills and ability to work autonomously
This role ideally requires a full time incumbent with a salary range between $90 - $115K + 12.75% super. Salary will be determined based on experience.
About You To be successful for this role, you will have relevant qualifications in information / record management or business administration along with 4 - 5 years experience working within a similar role.
You will have exemplary communication skills and have meticulous attention to detail.
