Job Description - Legal Assistant - Real Estate

The Opportunity

We are seeking a highly organised and proactive Legal Assistant to join our Real Estate practice in our Brisbane office.

Working hours: 8:30am - 5:06pm, Monday to Friday.

This is a dynamic role supporting partners and our Real Estate team. We are looking for an experience legal support professional with a high attention to detail and excellent communication skills.

Please note we cannot consider law students for this role.

What you'll do
  • Deliver accurate, high-quality work while managing deadlines and competing priorities.
  • Prepare and coordinate firm-compliant documents, correspondence, and billing materials.
  • Support matter lifecycle management, including conflicts checks, information barriers, and file archiving.
  • Collaborate with business services and stakeholders to meet administrative needs.
  • Manage calls, emails, calendars, and travel arrangements for partners and lawyers.
  • Organise meetings across time zones, including logistics and technology setup.
  • Maintain robust electronic and hard copy file management systems.
  • Assist with expense claims and billing processes in line with firm policies.
  • Update client information and databases accurately and promptly.
  • Delegate tasks appropriately to meet practice support needs.
  • Coordinate events, lunches, and dinners within budget.
  • Stay informed on practice priorities and escalate issues as needed.
  • Adhere to firm policies and contribute to continuous improvement initiatives.
  • Participate in team meetings, projects, and firm-wide activities.
  • Take responsibility for learning and development, adopting best practices and sharing knowledge.

What you'll bring
  • A positive and pro-active approach.
  • An ability to remain calm under pressure and deliver polished, high-quality work.
  • Experience in a professional services firm, supporting legal teams is a plus.
  • Exposure to invoicing and reporting.
  • Strong time management and the ability to juggle priorities with ease.
  • A passion for helping your team grow client relationships.
  • Experience with matter management and mentoring junior team members.
