About the role

The Member Groups Administration Coordinator serves as the cornerstone of administrative support between APS member groups Relationship Managers and the diverse Member Group Committees. This position is primarily dedicated to streamlining the administrative aspects of executing professional development events and social gatherings for these groups. 

Key responsibilities include managing communication and overseeing all requisite administrative tasks to support the seamless execution and success of Member Group events.

  • Provide exceptional service to APS members, Member Group committee members, Relationship Managers, and additional internal and external stakeholders in relation to member group activities. 
  • Working with Relationship Managers, manage aspects of event administration in an organised, efficient manner. 
  • Ongoing management of Member Group events using the membership database.
  • Oversee event database management, ensuring accuracy and adherence to APS privacy policy. 
  • Provide technical assistance for Member Group online activities e.g., surveys, webinars, online forums. From time to time this will be outside of normal business hours. 
  • Coordinate travel management for committee members, staff, or speakers as required.
  • Ensure venue contracts and presenter agreements are completed in accordance with standard legal and financial requirements. 
  • Monitor and report on event registration including regular reporting to Relationship Managers.

The nature of the Member Group Administration Coordinator role demands excellent interpersonal, communication and listening skills. Individuals must also have the ability to research and analyse information, demonstrating a high level of attention to detail and to present and explain complex information clearly and simply.  

We are looking for an administration superstar with continuous improvement mindset and creative problem-solving skills. 

Key selection criteria

  • Minimum one (1) year work experience as a senior administrator / coordinator preferably within a customer service or member-based organisation, PCO, not for profit, Peak Body organisation. 
  • Experience in Microsoft software, web-based software, email systems, and other digital platforms, with ability to quickly acquire skills in new IT systems and processes. 
  • Ability to work to deadlines, with competing priorities in a fast-paced/high volume setting.
  • Highly developed written and verbal communication skills and excellent interpersonal skills. 
  • Demonstrable experience in provision of high quality of customer service.
  • Well-developed organisation skills, proactive, self-motivated and forward-thinking with the ability to work productively, both autonomously and as part of a team. 
  • A flexible, open, and adaptive approach to new ideas, products and systems, with ability and willingness to take direction.
