About the Role:



Ready to be the driving force behind a busy and dynamic office? We are seeking an enthusiastic and highly organised Office Administrator to join our Defence Solutions team based in Henderson. In this pivotal role, you'll be at the centre of the action, supporting day-to-day operations, coordinating key activities, and helping our teams deliver exciting and meaningful defence projects. Key Responsibilities



  • Create and process purchase orders and supplier invoices.

  • Investigate and resolve invoice discrepancies to support timely payment of suppliers.

  • Manage office and site consumables, supplies and equipment.

  • Provide general administrative support to project and management teams.

  • Coordinate employee medicals, vaccinations and project related appointments.

  • Arrange travel, accommodation, transportation, and furniture requirements for employees and rental properties.

  • Support the management of employee accommodation, including inspections and coordination with stakeholders.

  • Coordinate onboarding and training bookings for new employees.

  • Schedule and monitor mandatory training requirements, ensuring compliance and completion before expiry dates.

  • Maintain training records and support the organisation of individual and group training sessions.

  • Maintain accurate spreadsheets, databases, personnel records and administrative documentation.

  • Liaise with Project Managers, Supervisors and the People & Culture team to support operational and workforce requirements.

  • Ensure all records are maintained in a timely, accurate, and confidential manner.


 


To be successful in this role, you will have:



  • Previous experience in an Office Administrator, Site Administrator or similar administrative role.

  • Strong organisational and time-management skills with the ability to manage multiple priorities.

  • Excellent attention to detail and problem-solving abilities.

  • Experience processing purchase orders, invoices, and maintaining records.

  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.

  • Strong communication and interpersonal skills.

  • Ability to work independently and collaboratively within a team environment.

  • Experience supporting training coordination, travel arrangements, or workforce administration is highly regarded.
