Position Overview:

We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing customer orders and invoicing, as well as handling general office administration tasks. This role is crucial in ensuring the smooth operation of our office and maintaining excellent customer relationships.

Key Responsibilities:

Customer Orders and Invoicing:

  • Process and manage customer orders from receipt to delivery.
  • Generate and issue invoices accurately and promptly.
  • Maintain accurate records of orders and invoices.
  • Address customer inquiries regarding orders and invoices in a timely manner.
  • Coordinate with the production and shipping departments to ensure order fulfillment.

Office Administration:

  • Perform general office duties such as answering phones, responding to emails, and managing correspondence.
  • Maintain office supplies inventory and place orders when necessary.
  • Organize and maintain filing systems, both electronic and physical.
  • Assist with scheduling meetings, appointments, and travel arrangements.
  • Prepare reports, presentations, and other documents as needed.

Customer Service:

  • Build and maintain positive relationships with customers.
  • Handle customer complaints and issues with professionalism and efficiency.
  • Provide exceptional customer service and support.

Coordination and Communication:

  • Liaise with various departments to ensure smooth operations.
  • Communicate effectively with team members and management.
  • Assist in coordinating company events and meetings. 

Qualifications:

  • Prior experience in office administration or a similar role.
  • High school diploma or equivalent; associate’s or bachelor’s degree preferred.
  • Proven experience in office administration, preferably in a similar industry.
  • Strong attention to detail and problem-solving abilities.
  • Effective organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Bilingual (English, Mandarin and/or Cantonese) is preferred
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Ability to work independently and as part of a team.
