Job Description - Office Administrator/Coordinator - Rewarding Work

We are seeking a persistent Office Administrator/Coordinator to join our dedicated team at Instant Access in Rydalmere, Sydney NSW.

About Us

Instant Access is a leading specialist hire company supplying Scaffolding, Swing Stages and Mobile towers.

Our head office is currently looking for an Office Administrator/Coordinator to support the Executive Team in a very diverse role.

About the Role

In this role you will need to specialise in wearing different hats, varying between managing the office, arranging events, supporting team members, executive administration and presenting a professional front-of-house image.

This role will require you to manage all aspects of administration. You need to be organised, structured, methodical and reliable. 

Key duties and responsibilities 

  • Office Management / Administration requirements for all areas of the business
  • Maintain office and kitchen supplies
  • OH&S and Work Cover support
  • Prepare and maintain various company policies and procedures 
  • Provide day to day support to staff and management
  • Management of company Intranet site
  • Maintain internal documents
  • Recruitment – post Ads as required
  • Report preparation for the board
  • Respond to email and phone queries
  • Plan and organise monthly morning teas for birthdays and service awards
  • Ad hoc duties as required

About You

  • A friendly, positive manner with absolute discretion
  • Strong MS Office skills, including Outlook, Word and PowerPoint, SharePoint and Teams
  • Excellent interpersonal skills
  • Practical problem solver
  • 5+ years experience within an Administrative/Office Management Role
  • Effective time management and task prioritisation skills, ability to work autonomously
  • Excellent interpersonal communication, organisational skills, attention to details and the ability to plan and calmly work to deadlines
