Job Description - Office Manager & Executive Assistant to the CEO

Join Pro AV Solutions Queensland in a trusted, senior support role working directly alongside the Managing Director to help lead the rhythm, coordination, and effectiveness of the business.



This is not a traditional Executive Assistant or office administration role. It is a right‑hand role to the Managing Director, combining executive-level support with ownership of office operations and leadership of the Business Support function.



You will sit at the centre of the organisation, helping translate leadership intent into action, removing friction from day‑to‑day operations, and ensuring the business runs with discipline, professionalism, and purpose.



What you’ll be doing


Reporting directly to the Managing Director, your responsibilities will span executive support, office management, and coordination of people initiatives across the business. This role suits someone who enjoys taking ownership, and being the person who ensures things run smoothly. Your high-level responsibilities will include:



Executive & CEO Support



  • Act as the primary Executive Assistant to the Managing Director

  • Proactively manage the MD’s calendar, meetings, travel, and commitments

  • Prepare briefings, agendas, follow‑ups, and coordination aligned with the MD and business priorities

  • Manage key communications, actions, and stakeholder coordination on behalf of the MD



Office Management & Business Support Leadership



  • Own the smooth day‑to‑day operation of the office environment

  • Lead, support, and oversee the Business Support Administrator

  • Ensure front‑of‑office and administrative functions are delivered consistently and professionally

  • Act as the escalation point for office, facilities, and business support matters

  • Maintain high standards of organisation, presentation, and operational flow



Human Resources & People Coordination



  • Partner with the MD and senior leaders on HR and people initiatives

  • Coordinate recruitment, onboarding, and leadership processes

  • Support performance review cycles, training initiatives, and people compliance

  • Maintain structure and discipline around HR administration (with execution handled via the junior role)



Culture, Communication & Initiatives



  • Support internal engagement activities and leadership rhythm

  • Assist with selected marketing or internal brand activation initiatives

  • Help drive alignment, clarity, and professionalism across the business


 


Who we’re looking for


You’re someone leaders trust. You exercise sound judgement, strong organisation, and executive-level confidence while remaining hands-on as needed. Calm, professional, and proactive, you anticipate needs and manage competing priorities effectively. You’ll bring:



  • Proven experience as an Executive Assistant, Office Manager, or senior business support professional

  • Experience directly supporting a CEO or senior executive in a dynamic environment

  • Experience in general HR coordination or people operations 

  • Outstanding organisational, communication, and prioritisation skills

  • Strong discretion and confidence handling sensitive and confidential information

  • A proactive, solutions‑focused mindset

  • Strong attention to detail and a high standard of professionalism
