ABOUT YOUR ROLE:
We are seeking a highly organised and proactive Office Manager/Personal Assistant to support the Principal. The ideal candidate will have a strong background in legal secretarial duties, bookkeeping, and IT. This role requires exceptional multitasking abilities, attention to detail, and the ability to work independently in a fast-paced environment.
ABOUT YOU:
Administrative Support
- Manage the Principal's calendar and appointments.
- Prepare, edit, and format legal documents and correspondence.
Office Management
- Oversee the day-to-day operations of the office.
- Maintain office supplies and equipment, ensuring everything is well-stocked and operational.
- Coordinate office maintenance and liaise with vendors and service providers.
Bookkeeping
- Bookkeeping tasks, including invoicing, expense reports, and financial record-keeping.
- Monitor and reconcile accounts, ensuring accuracy and compliance with company policies.
- Manage and ensure compliance with legal trust accounts, including tracking and reporting on client funds held in trust, and conducting regular reconciliations.
IT Support
- Provide basic IT support, including troubleshooting hardware and software issues.
- Coordinate with external IT service providers as needed.
Requirements
- Proven experience as an Office Manager, Personal Assistant, or Legal Secretary.
- Strong knowledge of legal terminology, documentation, and procedures.
- Proficiency in bookkeeping and financial management.
- Solid IT skills, including familiarity with office software and basic troubleshooting.
- Exceptional organisational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A proactive and resourceful approach to problem-solving.
Preferred Qualifications
- Experience in a legal firm or corporate legal department.
- Knowledge of LEAP Legal, Xero and Microsoft Office Suite.
