About us…

Operating for over 30 years, based in Sydney and Brisbane, operating across the entire NSW & QLD regions. Our key focus is in Critical Environment Refrigeration & HVAC systems, Residential AC and Wholesale.

As well we specialise in design and engineering of all types of systems and facilities, new plant installation, commissioning, alterations, conversions and upgrades to existing plant as well as scheduled preventative maintenance and breakdown service.

Joining together with Climate HVAC & New Wave Air we are opening our newest hub for warehouse sales at Prestons and are looking for high calibre Office Scheduler & Admin Person.

About the role…

You will be assisting our Operations & Service Managers in scheduling & planning the daily works calendars. Together with our admin team you will;

  • Book in & schedule jobs, ability to handle rescheduling or cancelled appointments & addressing scheduling queries via email, phone & text
  • Maintain programmed maintenance schedule/jobs
  • Liaise with clients for appointments, PO orders or follow up work
  • Assist in follow up admin functions & preparation works
  • Ensure necessary documentation is assigned to jobs & completed
  • Timesheet auditing daily/weekly
  • Preparation of quotes
  • Completing works within digital systems (AroFlo & simPRO)
  • Processing & completing require documentation/information across multiple platforms – digital calendars, spreadsheets, Microsoft applications (365/SharePoint)
  • Assist on trade counter sales & customer service enquiries
  • Processing trade sales, online, email, phone, orders/invoicing, payments
  • Assist with trades sales and warehouse administration, including stock control

Experience & Abilities…

  • Proficiency & accurate input of information through various digital platforms
  • Strong focus on organisation with the ability to manage workload effectively using provided tools and methods
  • Autonomous work ethic 
  • Capability to build rapport across our diverse clientele & ability to working cohesively to achieve common objectives
  • Air conditioning or electrical industry experience would be advantageous

Qualifications / Experience:

  • Minimum 5 years’ experience in similar role with services company
  • Experience with Aroflo or simPRO
  • NSW Drivers Licence (or equivalent, preferable ability to drive a manual vehicle).
  • Australian citizenship and residency.
