This dynamic role will be suitable for an ambitious experienced Operations Controller / Administration to join our team through an exciting period of growth.
This role supports our cleaners, service providers, suppliers, and clients.
Key Responsibilities but not limited to include:
- Provide helpdesk support nationally working as a team with shared responsibilities
- Support and action all client escalations and work on external portals
- Maintenance of data, equipment registers, compliance, site lists, and other operational requirements
- Managing all inbox emails in a timely manner by closing off and follow-up where required
- Reception - answer the telephone, screen and direct calls, ensure that all calls are answered within 3 rings, put callers on hold if other calls are coming through, and take and relay messages as required. ensuring messages are passed to the appropriate staff member on a timely basis
- Daily office coordination
- Handling queries and complaints via phone, email and general correspondence
- Assist the administration team with general administration duties on an adhoc basis
- Administrative duties to the executive team and office support for all departments
- Mail distribution, labelling for mail postage, binding & preparing documents, filing, cleaner ID cards and shirt distribution.
- Receive and post mail, arrange and organise deliveries, courier freight pick-ups
- Managing vehicle registration and processing CTP green slip and any accident claims and maintain updated reporting and worksheets on all company vehicles
- Order Etags and organize fuel cards for the car fleet
- Booking Accommodations/Flights/Car Rentals, scheduling appointments/travel arrangements as required for company staff.
- Managing office supplies
- Office tidying by maintaining the office and kitchenette area daily
- Office maintenance/repairs and issues
- Monthly/Weekly reporting as required for credit card expenses and any consumables
- Organise company events and programs, corporate functions, social and sponsorship events. Manage the coordination for all events for the company for clients/subcontractors/employee staff
