Qualifications & Experience

• Organised and Detail-Oriented: You are meticulous in managing processes and ensuring no detail is overlooked.
• Proactive Ownership: You take full responsibility for managing the order lifecycle from receipt to final delivery, ensuring smooth, error-free fulfillment.
• Strong Communication Skills: Clear communication is essential, both with internal teams and external customers. You should be able to convey updates effectively and provide timely resolutions.
• Tech-Savvy: Advanced computer literacy with a solid understanding of ERP or order management systems. Experience with financial and inventory management systems is an advantage.
• Adaptable and Solution-Oriented: You thrive in a fast-paced environment, problem-solve independently, and identify areas for continuous process improvement.
• Experience: While previous administrative experience is desirable, we value a proactive mindset, organizational skills, and a passion for supporting customers

Key Responsibilities

• Full Order Lifecycle Management: Take complete ownership of the order entry, fulfillment, and delivery process. From receiving and processing customer orders to ensuring timely shipment and customer satisfaction, you’ll oversee every detail to ensure orders are accurately fulfilled.
• Vendor and Supplier Coordination: Initiate purchase orders, manage stock receipts, and communicate with suppliers to ensure timely product availability. You will track and monitor inventory levels to prevent stockouts and delays.
• Invoicing and Financial Accuracy: Handle invoicing for customer orders, ensuring that the process is seamless and accurate, and that financial records are aligned with delivery schedules.
• End-to-End Customer Support: Provide proactive, high-quality customer service, managing any order issues or questions. Work closely with internal teams (sales, technical, warehouse, accounts) to provide coordinated support, ensuring that customers are kept informed throughout the process.
• Timely Order Tracking and Issue Resolution: Regularly monitor order progress against established timelines, identifying potential delays or issues early and working proactively to resolve them before they affect the customer.
• Continuous Process Improvement: Regularly assess and suggest improvements for the order entry and fulfillment process to streamline operations, enhance customer satisfaction, and improve efficiency across teams.
