Practice Support Officer - Ecology

We have a rare opportunity for a Practice Support Officer to join our Ecology team. This role will be ideally based out of our new Milton, Brisbane office (also open to Gold Coast or Sunshine Coast) and will see you support multiple Ecology Managers and Team Leads with the day-to-day operations of the team. Working closely with the Managers and Leads, this role provides high-end coordination, administration and logistical support to the Ecology team across multiple locations. It is a fast paced and highly reactive position that is suited to someone who thrives on organisation, problem-solving and keeping projects and teams moving. This role is central to maintaining compliance, supporting field logistics and being the go-to for the Ecology team.

Job tasks and responsibilities

• The Practice Support Officer will provide high-level administrative and coordination support   
• Coordinate research permits and approvals (e.g. scientific purposes permits)
• Maintain compliance requirements within client portals, ensuring records remain up to date and accurate
• Manage field logistics, including travel and accommodation bookings, coordination with approved contractors
• Oversee consultant training and certification records (e.g. first aid, CPR, White Card), ensuring currency and compliance
• Maintain and manage the Ecology equipment register, including tracking location, condition, and maintenance requirements
• Provide responsive, day-to-day admin support to project teams as required
• Ensuring that authorisation processes, policies and practices are communicated and followed (e.g. Health and Safety, expenses, expenditure, travel, equipment).

Skills and experience
The successful candidate will ideally have: 

• 6+ years of experience in an administrative, coordination or practice support role within a consulting or professional services environment
• Strong organisational skills with the ability to manage multiple priorities in a fast-paced, reactive setting
• Proven ability to coordinate logistics, documentation and compliance across multiple projects
• High attention to detail, particularly in record-keeping, portals and compliance tracking
• Confident communicator who works well in a team environment
• Proactive, adaptable and easy-going approach

Desirable experience

• Experience using project management or financial systems to monitor project performance
• Exposure to monthly reporting and performance metrics within a consulting or professional services environment
• Admin experience across bids, invoicing and project coordination
• Experience supporting business operations such as meeting minutes, agendas, project setup and internal systems
