POSITION OVERVIEW
The Procurement Coordinator & Analyst at Hickory plays a pivotal role in ensuring the seamless and strategic procurement of building materials. With a focus on both local and international markets, the role involves meticulous market research, data analysis and risk assessment. In addition to the day-to-day procurement activities, the Procurement Coordinator & Analyst actively contributes to continuous improvement initiatives, leveraging technology proficiency to implement automation tools and analyse data for informed decision-making.  Adaptability is crucial, as they must swiftly adjust strategies to market fluctuations and evolving project requirements.

RESPONSIBILITIES
  • Market Research: Analyse market trends, supplier capabilities, and pricing structures to inform strategic procurement decisions and maintain competitiveness.
  • Cost Estimation and Budgeting: Estimate costs accurately and develop budgets for procurement activities, aligning with project requirements and financial objectives.
  • Customs and Regulatory Compliance: Navigate and ensure compliance with international trade regulations and customs requirements, especially when procuring from abroad.
  • Documenting Procurement Processes: Document and maintain a record of procurement processes, ensuring transparency, accountability and compliance with internal procedures.
  • Implementation of Procurement Software: Implement and optimise procurement software and tools, enhancing efficiency and streamlining routine procurement tasks.
  • Data Analysis and Reporting: Analyse procurement data, track key performance indicators and generate reports for informed decision-making and process improvement.
  • Quality Assurance in Procurement: Establish and maintain standards for quality assurance in procurement, ensuring that materials and services meet specified criteria.
  • Risk Analysis: Identify, assess and mitigate risks associated with procurement activities, safeguarding Hickory from potential disruptions.
  • Vendor Performance Evaluation: Evaluate and measure the performance of vendors, ensuring they meet established criteria and standards.
  • Continuous Improvement Initiatives: Identify opportunities for process optimisation, cost reduction, and efficiency improvement within the procurement function.
  • Benchmarking and Best Practices Research: Research industry benchmarks and best practices, incorporating insights to enhance the efficiency and effectiveness of procurement processes.
  • Document Control for Procurement: Establish and maintain a robust document control system for procurement-related documents, ensuring accuracy and accessibility.
  • Stakeholder Communication: Communicate effectively with internal stakeholders, project teams, and external suppliers to ensure alignment and transparency in procurement processes.
  • Import and Export Documentation: Manage and ensure accuracy in import and export documentation, facilitating smooth international procurement transactions.
  • Procurement Metrics and Key Performance Indicators Tracking: Define and track key metrics and KPIs for procurement activities, enabling performance evaluation and process improvement.
  • Documenting Lessons Learned: Document lessons learned from past procurement activities, facilitating continuous improvement and avoiding repeat challenges.
  • Emerging Technology Adoption: Research and assess emerging technologies in procurement, adopting tools that enhance efficiency and stay ahead of industry trends.
  • Audit Trail Maintenance: Maintain a comprehensive audit trail of procurement activities, ensuring transparency, accountability, and compliance with internal and external audit requirements.
 
TO BE SUCCESSFUL IN THE ROLE
  • Bachelor's degree in Business, Supply Chain Management, Procurement, Logistics or a related field.
  • Several years of experience in procurement or supply chain management, with a focus on construction or a related industry.
  • A strong understanding of the construction industry, including knowledge of building materials, project timelines, and construction processes.
  • Proficiency in using procurement and supply chain management software, such as ERP systems, e-procurement tools, and other relevant technologies.
