The Finance Office plays an integral role in the success of the University ensuring responsible stewardship through financial performance and strategic procurement, with a view to financial sustainability and growth.
About the role
The Procurement Operations Lead plays a key role in managing the University’s procurement activities, ensuring that processes are efficient, compliant with policies, and effectively executed. This position oversees daily procurement operations including purchasing, accounts payable and receivable, and supplier management, while leading the procurement operations team. The role also involves close collaboration with stakeholders to foster continuous improvement and drive operational excellence.
Key Responsibilities
- Lead the operational procurement function to ensure alignment with the University's procurement strategy and objectives, while fostering a collaborative, service-oriented team culture.
- Oversee daily procurement activities including purchasing, accounts payable/receivable, credit card management, and travel, ensuring timely and accurate processing.
- Supervise and support the procurement operations team by providing training, guidance, and performance feedback, while identifying opportunities to streamline workflows and enhance system usage.
- Develop and implement process improvements that align with policy requirements to boost procurement efficiency and effectiveness.
- Ensure compliance with procurement policies and governance frameworks, maintaining accurate records, supporting audit readiness, and mitigating risks.
- Collaborate with internal stakeholders to understand procurement needs, resolve operational issues, and ensure documentation and reporting meet University standards.
Qualifications, skills & experience
- Relevant tertiary qualification in business, finance, supply chain, or procurement, with at least 4 years of related experience; or extensive management expertise in technical/administrative fields; or an equivalent combination of education and experience.
- Demonstrated experience in leading teams, implementing process improvements, and managing complex stakeholder relationships.
- Strong communication skills—both verbal and written—with the ability to present information effectively to diverse audiences.
- Proven negotiation and conflict resolution abilities, with a focus on building credibility and maintaining professionalism.
- Advanced planning, prioritisation, and organisational skills, capable of managing multiple projects and meeting deadlines.
- Proficiency in procurement systems and software, with advanced Microsoft Office skills, particularly in Excel.
