Job Description - Project Officer

Sydney - Contract Role Role OverviewWe are seeking an experienced Project Officer to provide high-quality project reporting and support across a portfolio of approximately 37 active projects. This role sits within a small EPMO team and is heavily focused on Smartsheet, requiring someone who can hit the ground running and immediately take ownership of project reporting, dashboards, and data management.The role is 80% Smartsheet-focused, with the remaining exposure to PMO and governance activities.
Key Responsibilities
  • Own and manage end-to-end project reporting across the project portfolio
  • Develop and maintain Smartsheet dashboards, reports, and linked sheets
  • Build and maintain complex Smartsheet formulas, reference sheets, and roll-up reporting
  • Manage data integrity and link data across multiple Smartsheet assets
  • Support portfolio-level reporting for governance and decision-making
  • Prepare and deliver executive-ready reports and dashboards
  • Assist with PMO governance activities, standards, and reporting frameworks
  • Deliver Smartsheet training, demonstrations, and user support where required
  • Create and present PowerPoint materials to support reporting and training
  • Work closely with the EPMO Manager and stakeholders in a small, collaborative team
Required Skills & ExperienceCore Technical Skills (Essential)
  • Intermediate to Advanced Smartsheet expertise, including:
    • Building dashboards and reports
    • Creating formulas and roll-up reports
    • Managing references and linked data across sheets
    • Portfolio-level project reporting
  • Experience using Smartsheet as a Project and Portfolio Management (PPM) tool
  • Strong Microsoft Excel skills (intermediate to advanced)
  • Proficiency across Microsoft Word, PowerPoint, Outlook, and Teams
PMO & Project Exposure (Desirable)
  • Experience working within a PMO or EPMO environment
  • Exposure to project governance, portfolio reporting, and standards
  • Project support or project coordination experience
Soft Skills & Working Style
  • Proven ability to train and support users in Smartsheet and reporting tools
  • Confident communicator able to present and demonstrate Smartsheet solutions
  • Highly organised with strong attention to detail
  • Ability to work autonomously and add immediate value
  • Comfortable working in a small team environment
  • Stakeholder-focused with a proactive and adaptable mindset
