About the role

We are looking for a professional and team focused Receptionist and Administrator who loves dealing with people. The role is a full time position working for our Residential Management Services (RMS) Team and will be based at our front desk along with another Corporate Receptionist. As the first point of contact for people coming into the office you will have responsibility for creating a positive and welcoming environment for visitors to our office. Whilst being based on Reception you will mainly be dealing with RMS clients as well as providing administration support to the RMS team. The role will report into the RMS Department and include:

  • Greet clients and visitors in a warm, friendly, and professional manner, ensuring they feel welcome
  • Answer and direct incoming calls promptly and efficiently, providing accurate information and transferring calls to the appropriate parties as needed
  • Provide administrative support to the RMS team
  • Help prepare Lease documents in collaboration with Property Managers
  • Liaise with tenants coming into the office to collect or drop off keys
  • Liaise with trades coming into the office to collect or drop off keys
  • Collaborate closely with colleagues and team members to ensure seamless coordination and communication within the office
  • Maintain a clean and organised reception area, ensuring it reflects the professionalism and standards of the company
  • Help manage appointment scheduling and maintain calendars for meeting rooms
  • Ensure meeting rooms are clean and tidy, including clearing rooms after each meeting facilities

About You

We're looking for an experienced Receptionist and Administrator who is professional, warm and great at what you do. You will also have:

  • Previous experience in a corporate receptionist role
  • Very strong Administration skills and a genuine passion for supporting others
  • Excellent customer service skills
  • Highly professional appearance and manner
  • Exceptional interpersonal and communication skills
  • Strong organisational and time management skills
  • A proactive attitude and willingness to go above and beyond to meet the needs of clients and colleagues.
  • Great attention to detail
  • The ability to maintain confidentiality and handle sensitive information with discretion
  • Experience across the full suite of Microsoft products and with office equipment such as multi-line phone systems and printers.
  • Unrestricted working rights for Australia
  • Experience working within the real estate or property industry (highly desirable)
