Company Description

Are you an experienced Dr's PA looking for a new challenge? One of our busy & growing Fertility Specialists is looking for a full time Receptionist and Secretary to join her busy team based in Malvern.

Job Description

Working as part of a busy team, your role will see you providing high level administrative support to a busy specialist, handling a range of duties ensuring the practice runs smoothly which patients recieve the best level care - every step of their journey

Duties and responsibilities of the role include:

  • Provide an outstanding level of customer service and communication for patients: this may be face to face, via telephone, or via email.
  • Ensure an effective and seamless patient journey and experience.
  • Magement of all patient data, appointments, procedures, results, clinical files, correspondence and accounts.
  • Schedule and manage patient bookings in Genie Solutions software 
  • Management of patient accounts, invoicing/receipts, and Medicare billing
  • Co-ordinating specialist's diaries: consult locations, presentations, functions, education engagements.
  • Manage surgery lists, admission and hospital paperwork, including liaising with hospitals, anaesthetists, and assistants.
  • Coordinate additional tests with pathology and imaging practices.
  • Coordinate Fertility treatment paperwork and procedure times, including liaising with Fertility company, nurses, and administrative staff.
  • Liaise with, develop, and maintain excellent working relationships between this Fertility Specialist and referring GPs, other specialists, hospitals or Day Surgeries, nurses, allied health, and other stakeholders.

Qualifications

We are seeking an experienced Receptionist & Secretary for this role - someone who has ideally worked supporting a doctor or surgeon.

To be successful in this role you will need excellent communication, customer service, administration, and English language skills. You will also need to be good at prioritising, problem solving, and willing and eager to learn and adapt. Efficiency, teamwork and flexibility are essential traits as you will need to cover your job-share counterpart, but the same support will be offered in return.

The medical software we use is Genie Solutions. Experience is preferred, but not essential, and training can be provided.
