Summary

On behalf of our Client, FinCare Accounting, we are seeking a highly motivated full time receptionist and administration assistant to join their growing team and work between their Wollongong and Sutherland offices. You may have experience within an accounting or professional services firm, ideally in reception and performing administrative tasks. You will be provided with an opportunity to grow your skillset. Depending on your motivation and ambitions, there is the potential for career advancement in various aspects of the business. 

 

About the role 

We are looking for an experienced Receptionist and Administration Assistant to support a full-service financial firm. 

Duties will include: 

  • Answering and distributing phone calls; 
  • Greeting and working with the Client’s initial contact; 
  • Drafting letters to Clients and emailing correspondence; 
  • Liaising with the Australian Taxation Office (ATO) or lodgments, payment plans and addressing queries where required; 
  • Onboarding new clients in XPM, ATP and creating jobs appropriately; 
  • Performing general Reception duties, including mail, scanning and payment processing; 
  • Prefilling ATO and Client details on all appointments where required; 
  • Scanning, filing, and saving client documentation; 
  • Booking appointments and diary management; 
  • Printing and binding documents and other accounting requirements; 
  • Managing and distributing ATO documents through ATOMate; 
  • Providing general support to the administration team; 
  • Xero Practice Manager data entry to ensure client details are up to date (source of truth); 
  • Preparation and completion of forms for clients as requested by accountants; and  
  • Any other support tasks where required. 

  

About You 

  • Two years' experience working in an office environment, preferably accounting or financial services 
  • Driver’s licence 
  • Experience using Microsoft Excel, Outlook and Word 
  • Xero and document manager software experience desirable 
  • Excellent verbal communication skills 
  • Highly organised and able to take direction from various team members 
  • Ability to multi-task and proven experience in a busy environment 
  • Willing to learn new tools and processes; and 
  • Drive improvements in our working practices
