Position Summary

With excellent interpersonal skills and a passion for attracting and on-boarding high-quality candidates, the Recruitment Coordinator is responsible for the coordination and filling of all College vacancies. 

This new role seeks to evolve our recruitment practices, with a particular focus on strengthening our advertising strategies, fostering mutually-beneficial relationships with external stakeholders and bringing even greater efficiencies and applicant care to our processes.

Leveraging the College’s positive team culture and competitive working conditions, the incumbent will importantly be innovative and proactive in the implementation of attraction and engagement strategies and sourcing candidate pools, whilst maintaining compliance to the College branding standards and policies.

Of the up most importance, this role is responsible for providing candidate support and advocacy for stakeholders, including hiring managers throughout the recruitment journey.  Candidate care and a thorough understanding of key selection criteria to best match candidates to positions is critical for the incumbent to achieve quality long-term hires.

Reporting Relationship

  • The Recruitment Coordinator reports directly to the Director of Human Resources.

 

Key Responsibilities

The Recruitment Coordinator is responsible for:

Advertising and recruitment campaign

  • Proactively support and strategically partner with hiring managers in the College by providing expert support in the analysis, design, development and implementation of recruitment campaigns and programs.
  • Represent the College at relevant job fairs, community activities and other employment-related events.
  • Develop and coordinate a new Overnewton Careers Fair to showcase the College as an employer of choice.
  • Serve as a point of contact for the provision of consultative recruitment services and external recruitment agencies.
  • Actively create a talent pipeline and work with the Director of Human Resources to develop and implement regular communications. 

Candidate pool creation

  • Conduct employment-related research including conducting electronic searches and other methods of sourcing suitable and qualified candidates for vacancies.
  • Support our hiring managers by conducting customised screening and initial contact with applicants to ascertain applications suitability of qualifications and interest level in roles.
  • Refer appropriate candidates to hiring managers.

Candidate Care

  • Represent and promote the College to potential applicants by providing information, responding to questions and collecting applicant data.
  • Assist with the induction and off and onboarding processes of new and leaving staff members. 

Interview Management

  • Coordinate all recruitment panels and interviews.
  • Support hiring managers with the setup of interviews including coordination of candidate lists, interview questions and room set.
  • Greet candidates and support as an active participant on interview panels, as required.

Administration and data management

  • Handle a wide range of advanced administrative duties, including having a thorough knowledge of electronic recruitment platforms for the publication of advertising and professional profiling websites.
  • Support with writing and formatting position descriptions.
  • Maintain an updated database of position descriptions.
  • Support with updating organisational charts for the College.
  • Seek to automate the recruitment requisition and approval process.
  • Coordinate the recording and maintenance of employee job profile data, with the creation of employment contracts and letters of change include annual staff movement and load letters.
  • Maintain an up-to-date register, including status and renewal dates, of all staff who hold certification with the Victorian Institute of Teachers, and update the VIT online database as required.
  • Develop and maintain a general familiarity with immigration re-certification process, compliance requirements, and respond to queries related to immigration and certification.
  • Maintain weekly recruitment status report.
  • Prepare recruitment data for monthly operational, Board reports and staff newsletters.
  • By participating in regular College recruitment forums, works with the Director of Human Resources and relevant stakeholders to forward plan recruitment needs including, for leave coverage, other long terms absences, future timetable needs and resignations. 
  • Track resignations and long-term planned absence data.
  • Maintain staff movement information to support Campus Personal Assistants to manage movement within their respective schools.

Process development and continuous improvement

  • Map the recruitment process and onboarding processes including employee data management to understand touch points for collaboration with the Director of Human Resources to streamline process.
  • Work with the Director of Human Resources and relevant stakeholders to participate in the development of recruitment policies, processes and procedures by assisting with identifying issues that impede positive candidate attraction and retention.
  • Support in the coordination of exit interviews.

Professional Development

  • Keep abreast of electronic platforms and other recruitment techniques and can quantify effectiveness within the market and in the context of college campaigns.
  • Partner with the Director of Human Resources to develop and maintain comprehensive knowledge of recruitment, employment, compensation, benefits pay administration and other related organisational policies, practices and procedures and regulations.

 

Key Selection Criteria

  • Comprehensive search, selection, and recruitment experience with a thorough understanding of how to apply a recruitment cycle in a P to 12 setting.
  • Passion and proven ability to forward plan and engage proactively collaborating with stakeholders to develop attraction strategies and plan recruitment needs. 
  • An accomplished communicator both written and verbal with care for keeping key stakeholders consistently up to date.
  • Exceptional listening skills with an aptitude for finding out the important details, including managing expectations of hiring managers and candidates, to ensure the best suitability of candidates for positions.
  • Rigorous time management skills and high capacity to continuously reprioritise with resilience as circumstances change.
  • Consultative and caring attitude towards stakeholders, coupled with assertiveness and eagerness to do what it takes to deliver against recruitment and other College goals.
  • Advanced computer literacy skills including proficiency in the use of the Microsoft 365 Suite particularly excel, word with the proven experience of using technology to create everyday efficiencies. 
  • Willingness to take on administrative and reasonably requested tasks at all levels to support to the Human Resources function and College operations.

  • Operate at the highest standard as an Overnewton Anglican Community College brand ambassador, delivering an effective service ensuring adherence to privacy confidentiality and compliance requirements.

 

Relevant Skills, Knowledge and Experiences 

  • Experience and specialist expertise in recruitment and candidate management, or experience in a related field. 

 

Conditions of Employment 

  • All education support staff will have a current Working with Children’s Card (Employee).
  • It is expected that all staff will support the Christian ethos of the College.

Selection Process

A preliminary short list of applicants will be prepared, and first round interviews conducted by a panel. Final appointments are made by the Principal or delegate.
