Job Description - REGIONAL WAREHOUSE OPERATIONS MANAGER - QLD SA WA - Hiring Urgently

THE COMPANY

The Woodhouse Timber Company is an Australian-owned and established business that services the Queensland (QLD), New South Wales (NSW), Australian Capital Territory (ACT), Victorian (VIC), South Australian (SA) and Western Australian (WA) markets with premium building products.

Operating under an exclusive wholesale supply chain model, Woodhouse distributes its product ranges through a recognised network of Building Material and Hardware Merchants; Home Centre Outlets; and Truss and Wall frame manufacturers.

Our range includes Structural and Decorative Remanufactured Plantation Pine products for internal and external building projects and applications.

We currently have a permanent full-time position for a Regional Warehouse Operations Manager QLD SA WA based in Darra, Queensland 

KEY PURPOSE:

This leadership role is responsible for managing warehousing and distribution operations by overseeing the efficient receipt, storage and value-adding servicing and dispatching of a variety of building products across region 2.  This will be achieved by creating a positive working environment to ensure that productivity targets are achieved and that all warehouse processes are running effectively and efficiently.

SPECIFIC DUTIES AND RESPONSIBILITIES:

Leadership & Management

  • Strategically manage and drive warehouse in compliance with Company’s policies and pillars;
  • Set and achieve regional operational targets in conjunction with the DOO;
  • Provide leadership to all regional operations staff in the form of achievement of KPI’s, operational efficiencies, performance management and compliance to company and legislative policies and procedures;
  • Coach, lead and guide employees to help them achieve KPI’s;
  • Drive a positive internal culture of high performance;
  • Hold self and staff accountable;
  • As a member of the operations leadership team, present regional achievements and corrective actions against KPI’s; contribute to national planning and continuous improvement for the operations department;
  • Assist and drive change management when applicable; and
  • Promote, initiate, and manage projects in collaboration with DOO and Executive, as directed.

Systems & Operations 

  • Develop warehouse operations systems by determining product handling, workflow and inventory storage requirements; 
  • Maintain and develop processes for inventory replenishment and management, receiving product, strapping and wrapping product, equipment utilisation, outgoing product and freight management;
  • Developing, implementing and maintaining Job Aids (User Guides) and warehouse operations policies and procedures on a regular basis;
  • Drive ’Inventory Shift’ to ensure daily responsibilities are completed and reviewed;
  • Thorough understanding of company WMS (Warehouse Management System) and ERP (Enterprise Resource Planning) system to optimise warehouse performance; 
  • Ensure all staff complete necessary inductions, system training, onboarding and offboarding requirements;
  • Comply with Federal, State and Local warehousing, material handling and shipping requirements by ensuring knowledge of legislative requirements, enforcing adherence to requirements, and advising DOO on necessary measures;
  • Safeguard warehouse operations and contents by establishing and monitoring security procedures and protocols;
  • Manage and pre-plan regional operations recruitment needs, rostering and leave requirements;
  • Promote, drive, and align warehouse operations with Woodhouse’s vision of ‘fast, flexible and frequent,’ striving to provide customers with quality products and service;
  • Engage in ongoing consultations with clients, suppliers, and transport companies, consistently aligning with our commitment to achieving a 98.5% OTIF (on time – in full) within 24 hours;
  • Oversee credit / return compliance in line with national guidelines;
  • Review, implement and monitor continuous improvements across all areas of regional warehouse operations;
  • Conduct briefs with Warehouse Leadership groups on the issues for that particular day;
  • Monitor and report on customer KPI’s and consulting with sales team and operational staff;
  • Monthly reporting against regional KPIs; and
  • Produce reports and statistics regularly, with necessary updates and commentary. Issues to be recorded and rectified / escalated as required.

Customer Focus 

  • Oversee customer deliveries and requirements including picking accuracy, on time and with no damage;
  • Adherence to internal OTIF;
  • Monitor activity and identify corrective actions; and
  • Consult with Account Managers and Customer Service team regularly to address and resolve any product or customer issues. 
  • Optimise regional freight costs;
  • Management of State Forestry Stewardship Council (FSC) audits and actions to ensure compliance; and
  • Oversee compliance to Chain of Responsibility (COR) obligations including staff training & awareness, record keeping, and tracking compliance through regular audits.
  • Commercial team managers teams, including supply chain, product development, sales, marketing, and customer service;
  • HR management & team; and
  • Finance management team, including business systems and applications.
  • Promote exceptional service standards and new behaviours to promote a client-driven culture;
  • Create a culture of ‘exceeding objectives’ for our customers;, 

Financial

  • Achieves financial objectives by assisting with an annual budget, scheduling expenditures, analysing variances, and initiating corrective actions as necessary; and
  • Plan and review compensation actions.

Work, Health & Safety 

  • Be a Woodhouse Timber Safety representative and understand the responsibilities of this;
  • Ensure regional adherence to the Woodhouse Timber Health and Safety Manual, and the adjacent policies and procedures;
  • Sign up to the Work Safe distribution list for the region 1, to keep company and branch updated on news and legislative requirements;
  • Continuously drive and promote the company’s ‘Switch On’ mantra and guarantee the completion of all safety requirements directed by the business;
  • Act diligently to ensure all Risk and Safety Assessments are completed using the appropriate forms and documents;
  • Consult with workers and management on all Workplace Health and Safety matters which require escalation; and
  • Ensure that workers are equipped with the information, instruction, training, and supervision required to work safely.

Supply Chain Management 

  • Manage and oversee effective stock control including credits, restocking and damaged stock;

QUALIFICATIONS / KEY SKILLS / COMPETENCIES / ATTRIBUTES:

  • Strong leadership skills and extensive operational expertise across all areas of inventory, warehousing and distribution;
  • Possess sound decision-making and critical thinking skills;
  • Proven ability to implement and process important initiatives as directed , swiftly and efficiently;
  • Expertise in warehouse management procedures and best practice;
  • Recruiting and rostering experience; understanding of employment laws and practical application of managing staff performance;
  • Strong planning skills and attention to detail;
  • Excellent communication skills, both written and verbal;
  • Be client-driven;
  • Proven ability to complete administrative duties in an efficient manner; 
  • Ability to problem-solve and proven experience in identifying and implementing continuous improvement initiatives;
  • Experience in, and ability to learn, use and teach dedicated operational software systems such as the WMS and ERP system;
  • Ability to learn, use and teach RF scanning guns in the warehouse;
  • Understanding of Work, Health and Safety and application to the workplace; and
  • Understanding of Timber Industry (highly regarded).

WORKING RELATIONSHIPS:

  • Role directly reports to the Director of Operations;
  • Warehouse Managers;

TRAVEL:

  • One (1) two (2) day period, every six (6) to eight (8) weeks, to be spent at South Australian branch and Western Australian branch;
  • Travel to other sites may be required on an ad hoc basis;  
  • Travel to customer stores may be required; and
  • Travel to research suburbs and land may be required.
