We are looking for a proactive and detail-oriented Senior Events Officer to join our UQ Events team within the Advancement and Community Engagement portfolio. In this role, you will play a key part in planning and delivering high-profile events that enhance the University’s reputation and community engagement. These events include Vice-Chancellor hosted functions, building openings, award ceremonies, alumni and donor engagements, UQ staff events and graduation celebrations.

You will support an ambitious annual events and engagement program, ensuring a strategic and impactful approach to fostering strong connections with our community.

Reporting to the Principal Events Officer and working under the leadership of the Senior Manager, Community Engagement and Events, you will contribute to a diverse range of UQ events and engagement initiatives.

Key responsibilities will include:

  • Provide expert event management support, advice and documentation to the Office of the Vice-Chancellor, senior leadership, and UQ staff for key university events.
  • Develop and manage stakeholder relationships, working closely with external suppliers and internal university clients.
  • Plan, coordinate, and execute major events, including centre launches, award ceremonies, and high-profile receptions, ensuring seamless delivery and adherence to standards of operating and protocols.
  • Oversee event logistics and compliance, including budgeting, supplier negotiations, risk assessments, and sustainable event practices. Manage event data, reporting, and evaluation, ensuring CRM updates, compliance with privacy policies, and post-event analysis for continuous improvement.

 This is a Full-time, 100% FTE Fixed-term position through to 31 December 2026 at HEW 6.

About You

  • A degree in event management or marketing/public relations or a related area plus substantial experience in event management OR an equivalent combination of training/education and experience is required.
  • Demonstrated experience producing accurate, comprehensive documentation and briefings, detailed event plans, risk assessments, and post-event reports. Experience managing protocol requirements for Senior Executives and Government representatives would be highly regarded.
  • Demonstrated experience in managing multiple projects and events and prioritise work requirements.
  • Strong administration skills, including excellent attention to accuracy and detail, and a commitment to innovation and continuous improvement.
  • Proficient in the use of Microsoft Office suite. Strong preference for experience with software such as EventsAir, Wrike, Raiser's Edge, and/or SalesForce.
  • Flexibility to work outside normal work hours and a current Queensland driver's licence.
