Senior Legal Assistant | Finance | Perth

The Opportunity:
We are currently seeking a Senior Legal Assistant to join the Finance team in the Perth office of a world-renowned law firm. This role is pivotal in ensuring the efficient operation of the team by serving as a role model and acting as a workflow supervisor when needed. Key Responsibilities:

• Collaborate with team members to deliver exceptional secretarial support and act as a trusted advisor to partners and fee earners.
• Mentor and share knowledge with less experienced team members, enhancing best practices within the team.
• Handle practice group-specific tasks to develop specialist expertise, including becoming a super-user on specific tools like global billing and client reporting.
• Utilize strong influencing skills to quickly build rapport and establish trust with stakeholders.
• Proactively anticipate potential problems, addressing them before they arise.
• Serve as a billing subject matter expert, ensuring the accurate and timely use of our finance management system for matter opening, maintenance, closure, and archiving.
• Coordinate internal and external client meetings effectively, ensuring all logistical aspects are managed smoothly.
• Assist fee earners with meeting organization, including preparation of agendas and timely collation of meeting papers.
• Manage complex travel bookings and arrangements for team members.
• Assist on ad-hoc projects and support team events as required.

Skills, Experience, and Characteristics:

• At least 5 years’ experience as a Legal Assistant, ideally within a corporate legal environment.
• Familiarity with document management systems such as iManage.
• Proficiency in Microsoft Office Suite and excellent diary management skills.
• Strong organizational and prioritization skills, with the ability to communicate effectively both verbally and in writing.
• Demonstrated ability to solve problems, make decisions, and delegate tasks to less experienced team members.
• A flexible, friendly, and personable approach, adaptable to varying working practices to meet business needs.
• Ability to remain calm under pressure, conscientious, diligent, and eager to learn and develop further skills.
• A proactive, can-do attitude is essential.
