Job Description - Senior Medical Receptionist and Administrator - Specialist Practice - Dynamic Team

We are in search of an energetic Senior Medical Receptionist and Administrator - Specialist Practice to join our experienced team at Wickham House Psychology and Psychotherapy in Spring Hill, Brisbane QLD.

We are a bespoke psychology, psychotherapy & psychiatry private practice located in the heritage listed building of Wickham House, in Spring Hill. We are currently seeking an experienced full-time receptionist and medical administrator to join our team on a full-time basis. The position will provide essential front desk and administrative support for clinical staff which will primarily include psychiatrists and psychologists. The hours for this position will be Monday to Friday, with some flexibility based on overall staff roster.

As the first point of contact for our patients, the successful candidates will play a crucial role in ensuring our practice runs smoothly and efficiently.

Roles & responsibilities

  • Scheduling and managing patient calendars for clinical staff.
  • Providing general administrative and practice management support to clinic
  • Greeting patients upon arrival for appointments & providing personalised patient care
  • Managing patient billings & payment processing including lodging MBS claims and invoice reconciliation
  • Communicating with patients, clinical staff & referring GPs or third-party organisation
  • Preparing and sending correspondence to patients, GPs, and third-party organisation
  • Monitor and maintain adequate supply of Practice, office and kitchen supplies
  • Opening & closing of the practice as required
  • General administrative duties as directed by the Clinical Director.

What you need to join our team

  • Previous medical reception/administration experience is essential. 
  • Previous experience in psychology or psychiatry or other specialist practice is not essential but highly desirable.
  • Professional and empathetic communication skills (written and verbal)
  • Strong organisation and time management skills
  • Exceptional attention to detail
  • A proactive, flexible, and strong problem-solving skills
  • Ability to work well within a team
  • Strong initiative and the ability to work autonomously.
  • Takes initiative to find solutions to ensure smooth operation of the practice
  • Knowledge of Medicare processes
