Job Description - Small Works Coordinator - Generous Compensation

Zweck is an internal Group Services division that partners with Aizer Group. We are recruiting for our partner Aizer Building Solutions.

Due to the continued growth and expansion of our integrated building services company Aizer Group, we now seek an experienced and enthusiastic Small Works Coordinator to join our building team, based either in our Brisbane (Tingalpa) office or Gold Coast (Burleigh) office.

About the Role

The Small Works Coordinator is responsible for ensuring that all trade staff are effectively managed, jobs are completed profitably, and operational workflows are optimized, including:

  • Manage cost plus and reactive maintenance for clients, ensuring profitability and deadlines are met.
  • Supervise trade staff, handle scheduling and leave, and maintain continuous workflow (Productivity rate).
  • Coordinate trades into jobs without gaps, optimize resource allocation.
  • Handle payroll, timesheet approval, and submission.
  • Engage with clients on a daily/weekly basis to maintain relationships
  • Utilize admin team for workflow optimisation.

Key Responsibilities:

  1. Manage and coordinate do-and-charge and reactive maintenance works for multiple clients, ensuring deadlines are met and jobs are completed profitably.
  2. Supervise and oversee all trade staff, including scheduling leave, managing work hours, and ensuring continuous workflow.
  3. Maintain a comprehensive system for booking trades into jobs, eliminating any gaps in scheduling and optimizing resource allocation.
  4. Handle payroll processes, including timesheet approval and submission, in adherence to company policies and regulatory requirements.
  5. Monitor and evaluate operational performance metrics, identifying areas for improvement and implementing solutions to enhance overall productivity.
  6. Foster a culture of flexibility, adaptability, and quick decision-making among team members to effectively respond to changing environments and client needs.

Required Skills and Qualifications:

  • Proven experience in a similar role, preferably in the maintenance or trade services industry.
  • Strong leadership and managerial skills, with the ability to make quick and effective decisions.
  • Background in a trade discipline, with the capability to assess job scopes and allocate appropriate trades based on requirements. (Advantageous but not required)
  • Excellent organizational and time management skills, with a focus on meeting deadlines and achieving operational targets.
  • Proficiency in payroll processes and systems, ensuring accuracy and compliance with relevant regulations.
  • Effective communication skills, both verbal and written, for coordinating with internal teams, clients, and offshore counterparts.
  • High energy levels and a proactive approach to problem-solving, ensuring optimal performance and profitability in all operational aspects.
