Job Description - Tax Support Coordinator

Role description

The Tax Support Coordinator will be the main contact for tax-related inquiries, ensuring that they are handled efficiently. Acting as the primary liaison between the tax team and clients, this role involves managing coordination and responding to client inquiries as needed.

Responsibilities:

Technical Support for the Tax team:
  • Monitoring workflows & trackers - collation and monitoring for internal circulation to the team, including year-end planning, payments, submissions, preparation of stat reports as applicable etc.
  • Packaging up Tax Deliverables for emailing/posting by managers
  • Checking repayment notices received from HMRC against the submitted Returns
  • Preparing rental summary spreadsheets for clients - required for tax return preparation
  • Drafting various letters
  • Providing updates of group structures using Market IQ
  • Coordinating mail merges for the tax team throughout the year. Information Request letters, Payment Reminder letters, Info Chasers, etc. Assist with checking figures on HMRC
  • Assisting with the creation and updating of the internal Tax checklists used for compliance & advisory work.
  • Manages and organises data effectively. This includes data entry, data analysis and maintaining databases accurately within Azets guidance
  • Maintaining practice management systems and ensuring data quality, updating client data

Client Engagement:
  • Display expertise in the onboarding processes
  • Facilitating the lifecycle of Letters of Engagement (LOEs) efficiently
  • Understanding of the process for disengagements and client closures, and the ability to manage necessary administrative tasks associated with client closures
  • Understanding of the opportunity management process with knowledge of Leads Go or similar lead management systems

Finance tasks:
  • Understands invoicing systems and payment processes
  • Able to prepare draft invoices for review/raise client invoices when requested and send to the client with a covering email.
  • Knowledge of the Tax investigation and renewal processes
  • Act as a point of contact for the office in distributing the control sheet, sending reminders, and liaising with the TIS team on any queries. To update the control sheet when payments are received, and to prepare and send welcome packs
  • Raise and submit any claims through the Markel portal when tax enquiries arise, including invoices and supporting information packs

General Admin support to the Tax team:
  • Creating and updating documents using the Microsoft Office suite and maintaining high standards of formatting and accuracy
  • Supporting the induction/onboarding process for new tax staff joining Azets
  • Managing calendars and providing diary support as requested for the tax department and team meetings
  • Arranging travel and accommodation in line with company policy
  • Conducts thorough proofreading of documents to ensure accuracy and professionalism
  • Prepares comprehensive client packs for chargeable staff, ensuring accuracy and completeness
  • Collation and distribution of the weekly staff status for the tax team

What we are looking for:
  • Experience working in a similar role within an accountancy practice would be desirable
  • Demonstrates strong organisational skills to manage tasks and responsibilities effectively
  • Proficiency in the Microsoft Office Suite, including word, excel, PowerPoint, and TEAMs
  • Desirable, exposure in key performance software, with support, including CCH, Alphatax, Microsoft Office, CoZone
  • Desirable, Money Laundering, and other mandatory regulatory compliance
  • Excellent attention to detail and accuracy in all tasks, ensuring high-quality work output
  • Applies problem-solving techniques to address challenges and find practical solutions
  • Good client and stakeholder management skills, with the ability to build and maintain relationships at all levels
  • Excellent verbal and written communication skills
