The Opportunity

Are you an experienced Trade Mark Administrator or Senior Trade Mark Administrator? Join our highly regarded national Trade Marks team based in Melbourne or Sydney and play a pivotal role in managing a diverse portfolio of Australian, New Zealand and international trade mark matters. The team works with some of the largest trade mark portfolios in Australia, across a broad range of sectors including financial services, energy, transportation, investment management and consumer goods.

The role:

As a Trade Mark Senior Administrator, you will be responsible for the end-to-end administration of trade mark filings, renewals, monitoring, reporting and billing. You will ensure the accuracy of case records within our IP management system, act as a key point of contact for clients and overseas associates, and support the efficient operation of the Trade Mark Administration team.

This role also includes responsibility for designated client portfolios within the Trade Mark Administration group and providing workflow support. It offers a high level of responsibility and autonomy, whilst working in a supportive team.

Your day to day will involve:

• Manage the filing, monitoring, recording and invoicing of local and foreign trade mark applications.
• Oversee renewal and lapsing processes in line with client or agent instructions.
• Maintain accurate records and deadlines within the IP management system.
• Draft correspondence and prepare documentation within required timeframes.
• Liaise with trade mark solicitors, clients, overseas associates, IP Australia and IPONZ.
• Prioritise workload to manage competing deadlines and high volumes.
• Train and mentor junior staff as required.
• Attend to all billing related to your portfolio.
• Proactively identify process improvements and contribute to maintaining a positive team culture.

What you’ll bring

• Minimum of 3 years’ experience in a trade mark administration role within an IP firm.
• Strong knowledge of trade mark law, procedures and filing requirements.
• High level of accuracy and confidence using WebTMS.
• Excellent organisational skills with the ability to manage multiple priorities.
• Strong IT skills, including Microsoft Word proficiency.
• The ability to work well within a fast-paced environment.
• An innovative mindset, curious about AI and emerging technologies.
