The Opportunity: 
Reporting to the Head of People & Culture, the Workplace Experience Coordinator plays a crucial role in ensuring the efficient functioning of the workplace environment. This a 12 month fixed position operating on a part time basis.  This mixed position involves various aspects of office/facilities work as well as employee support. The ideal candidate possesses strong organisational skills, excellent communication abilities, and a proactive approach to problem-solving.

The responsibilities of this part time role will include but are not limited to the following:
  • Maintain a clean, safe, organised, and functional office space that promotes a positive image of IFS and an engaging work environment for our employees.
  • Manage office supplies and vendors to ensure availability and cost-effectiveness.
  • Liaise with vendors and service providers for office maintenance, repairs, and other related tasks.
  • Coordinate desk assignments, maintenance issues, visitor and employee access requests and the like.
  • Oversee facility-related projects, such as office renovations, relocations, and expansions.
  • Support health and safety protocols in accordance with regulatory requirements and company policies.
  • Provide administrative support for HR-related tasks, such as recruitment, database maintenance and reporting, and coordination of HR related events and training.
  • Assist with onboarding of new employees by coordinating workspace setup, IT support, and orientation and materials.
  • Assist with offboarding of departing employees as required.
  
About You:
We're seeking a proactive and detail-oriented professional with outstanding communication and organizational skills. Whether you're a student looking for part-time work or someone early in your career in human resources or facilities management, this role offers an opportunity to grow and contribute.
  
What you'll need to succeed:
  • Qualifications in business, human resources or facilities management are an advantage.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Ability to prioritise tasks and manage time effectively in a fast-paced environment.
  • Detail-oriented with a focus on accuracy and quality of work.
  • Demonstrated discretion and confidentiality in handling sensitive information.
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Knowledge of or experience in the financial services sector or a professional services setting highly desirable.
